Lead Medical Assistant

At Bello Allergy & Wellness Center, we are committed to delivering compassionate, high-quality allergy and wellness care to the diverse communities of the San Francisco Bay Area. As our practice continues to grow, we are seeking a motivated and experienced Lead Medical Assistant to support both clinical operations and day-to-day Medical Assistant team coordination.

This role is ideal for an experienced Medical Assistant who enjoys patient care but is also ready to take on additional leadership responsibilities. The position is primarily clinical and patient-facing, with additional responsibilities helping support workflow coordination, team communication, and clinic operations.

The ideal candidate is proactive, dependable, detail-oriented, highly organized, and comfortable working in a fast-paced outpatient specialty clinic environment.

Position Overview

The Lead Medical Assistant will work closely with physicians, physician assistants, medical assistants, front office staff, and leadership to help maintain efficient clinic operations and excellent patient care.

This is a hands-on role that combines both:

Direct patient care and clinical Medical Assistant responsibilities
Workflow support and day-to-day team coordination

This position does not have formal management authority but serves as a key support leader within the clinic.

Key ResponsibilitiesClinical & Patient Care Responsibilities

Obtain and document patient vital signs accurately
Prepare and assist with office procedures including:
Allergy skin prick testing
Spirometry
Peak flow testing
Subcutaneous allergy injections
Biologic injections
Maintain proper sterilization and safety protocols
Assist providers with patient care and treatment coordination
Monitor physician Epic in-baskets for:
Prescription refill requests
Prior authorizations
Test results
Pharmacy communications
Referral coordination
Obtain authorizations for medications, procedures, and referrals
Maintain accurate and timely medical documentation within Epic
Handle patient questions professionally and courteously
Assist with medical records, scanning, and documentation workflows

Front Office Responsibilities

Welcome patients warmly and professionally
Efficiently manage patient check-ins and check-outs
Update patient demographics, insurance, and pharmacy information
Verify insurance eligibility, copays, and outstanding balances
Process payments and generate invoices
Triage incoming phone calls, portal messages, and walk-in requests
Schedule and confirm appointments efficiently
Provide excellent customer service to patients and families

Lead Medical Assistant Responsibilities

Lead and support daily Medical Assistant workflows and clinic coordination
Help ensure smooth clinic flow, operational efficiency, and positive patient experience
Assist with onboarding, training, scheduling, and workflow coordination for Medical Assistants
Serve as a go-to-person for Medical Assistants during clinic operations
Ensure compliance with clinic protocols, Epic workflows, documentation standards, and safety procedures
Help identify workflow inefficiencies and suggest operational improvements
Support providers with patient flow, prior authorizations, refill requests, and follow-up tasks
Troubleshoot operational and staffing issues to minimize clinic disruption
Assist leadership with day-to-day operational support and team accountability
Step in as needed to support both front-office and back-office operations
Help maintain inventory, office organization, and overall clinic readiness
Foster a positive, professional, and team-oriented work environment

Qualifications

High school diploma or equivalent required
Minimum 2 years of Medical Assistant experience required
Previous lead or supervisory experience preferred
Medical Assistant certification required
Current BLS/CPR certification required
Experience using Epic electronic medical record system strongly preferred
Must be proficient and comfortable working within Epic workflows
Strong understanding of:
Back-office clinical workflows
Front-office operations
Insurance verification and eligibility processes
Excellent communication and interpersonal skills
Strong organizational and multitasking abilities
Ability to work efficiently in a fast-paced environment
Professional, dependable, and team-oriented attitude
Bilingual Cantonese or Mandarin is a plus
