WHO WE ARE
We are a boutique hotel investment brokerage specializing in the acquisition and disposition of hotel assets across the Mountain West and beyond. Our team is lean, our deal flow is active, and we win business through preparation, market intelligence, and relationships — not size.
We are building our business development systems from the ground up and need the right person to help design, build, and run them.

THE OPPORTUNITY
This is not a passive admin role.
You will work directly with the lead broker to build the operational backbone of a growing brokerage practice — from scratch. That means creating workflows, building AI prompt libraries, setting up systems, and then running them week to week with precision.
We use AI tools (Claude) heavily. You don't need to be an AI expert coming in, but you need to be curious, tech-comfortable, and willing to learn fast. A big part of this role is figuring out how to use AI to make us more productive — and then documenting it so the system runs consistently.
This is a ground-floor opportunity. For the right person, there is a clear path to six-figure income. If you pursue a Colorado real estate license, there is a defined path to earning commissions directly. We want someone who sees this as a career, not just a part-time job.

WHAT YOU'LL DO
Systems & AI Development
- Partner with the lead broker to build AI prompt libraries for recurring tasks — outreach letters, buyer summaries, market reports, audit memos, and more
- Document workflows so every process is repeatable and nothing depends on memory
- Continuously test and refine prompts and systems; propose improvements that increase output and quality
- Stay current on AI tools and bring ideas for how to use them more effectively
Business Development Execution
- Run weekly outreach campaigns to hotel owners and prospects
- Prepare one-page Buyer Match Summaries before every listing call
- Build and maintain contact lists from CoStar, LinkedIn, and industry directories
- Manage the full outreach calendar — what goes out, when, and to whom
CRM & Communications
- Log all broker calls into our CRM (Buildout) after each conversation via a quick debrief
- Manage the broker's email inbox: reply to basic inquiries, route substantive items with context
- Keep all contact records current — tags, pipeline stages, notes, and follow-up dates
- Send a daily end-of-day status report every weekday summarizing what was completed, what's pending, and any flags
Document Preparation
- Use AI to generate first drafts of outreach letters, market reports, and client materials
- Format documents in our templates and maintain our Google Drive file structure
- Prepare materials for listing calls and client presentations
Phone & Scheduling
- Be comfortable and professional on the phone — confirming calls, following up with contacts, and scheduling on the broker's behalf
- Manage the broker's calendar for all business development activity
- Confirm calls 24 hours in advance and ensure all logistics are confirmed

You are extremely detail-oriented. You catch errors before they leave your desk. You notice when something doesn't look right. You read instructions fully before starting.
You are proactive. You don't wait to be told what's next — you look ahead, anticipate what's needed, and move. If you finish a task and the next one isn't assigned, you figure it out or you ask.
You are a good listener who follows directions precisely. When given a process, you execute it as designed. When you see a better way, you propose it clearly and let the decision-maker decide — you don't just go rogue.
You are comfortable on the phone. You can represent a professional organization, handle a basic question, and know exactly when to say "let me have Hunter follow up with you on that."
You are genuinely curious about how AI tools work and excited about using them to build something from scratch — not just clicking buttons someone else set up.

REQUIREMENTS
Required:
- Exceptionally organized — this is the top requirement, non-negotiable
- Extremely detail-oriented — errors and dropped balls are not acceptable in this environment
- Proactive self-starter — able to manage your own workload without daily hand-holding
- Strong written and verbal communication
- Comfortable on the phone in a professional setting
- Proficient in Google Workspace (Gmail, Drive, Docs, Sheets, Calendar)
- Comfortable learning and using AI tools (Claude, ChatGPT, or similar)
- Able to work independently in a fully remote environment
Preferred (not required):
- 2+ years of administrative, operations, or coordination experience
- Recent college graduates with strong organizational skills and genuine interest in real estate are encouraged to apply
- Located in Southwest Colorado (Durango area) — though full remote is available for the right candidate
- Experience in real estate, hospitality, finance, or a similar professional field
- Familiarity with CRM platforms (Buildout, HubSpot, Salesforce, or similar)
- Familiarity with CoStar or LoopNet

Pay: $25–32/hour depending on experience
Hours: 20–25 hours/week
Structure: 1099 independent contractor to start
Schedule: Flexible, with consistent daily availability on weekdays
Location: Fully remote; Southwest Colorado preferred but not required
Path forward: This role grows with your performance. For the right person who pursues a Colorado real estate license, there is a defined path to earning commissions directly — with the realistic ability to reach six-figure income over time. We are not looking for someone to fill a seat. We are looking for someone who wants to build something.
