Full Job Description

Homeward Trails Animal Rescue - Volunteer Coordinator

Position Summary: Recruit, manage, support and coordinate volunteers to support Homeward Trails staff and animals. Act as a liaison between Homeward Trails and volunteers, as well as the larger community. Ensure that volunteers have a rewarding visit, engage them in meaningful dialogue about their activities with us. Oversee program to ensure regular growth and expansion as well as ongoing volunteer recognition.

Core Responsibilities

Volunteer Management & Recognition: Recruit, onboard, and train volunteers. Coordinate orientations and manage and match volunteers with appropriate opportunities on and off-site. Oversee volunteer recognition program and plan/execute annual volunteer recognition event.
Event Coordination: Work with appropriate staff around community outreach, adoption events, special events, and regular weekly programs like Tails Out to ensure that all shifts are adequately staffed and volunteers have necessary supplies.
Culture & Advocacy: Act as an ambassador for the organization at events both on and off-site as well as with the larger community.

Key Qualifications

Experience: Previous experience managing volunteer programs, customer service, or animal welfare operations.
Skills: Strong organizational skills and proficiency with Microsoft Office and shelter software. Basic knowledge of dog handling and animal behavior is typically preferred. Knowledge and comfort working on various social media platforms including Facebook, Instagram, TikTok.
Physical Requirements: Ability to lift up to 50 pounds. Comfort working both indoors and outdoors in various weather conditions, with daily exposure to animals of all sizes and temperaments.
Licensing: Must have valid driver's license (often for at least 3 years) and own vehicle for use in local event travel when HT vehicles are not available.
Work Environment: Schedules often vary and may include weekends, evenings, and holidays. May require local travel.

Essential Duties and Responsibilities:

Strong commitment to growing the HT volunteer program to support year-around events, both on-site and off-site.
Utilizing social media platforms to promote, recruit and recognize volunteers and opportunities.
Provide volunteers with all equipment and materials needed for their assignment(s)
Coordinate volunteer locations and activities.
Provide necessary information/orientation to volunteers.
Work with Homeward Trails staff to keep volunteers engaged.
Keep in close touch with Homeward Trails staff to determine needs, problems, and questions. Report issues, commendations and needs to Deputy Director.
Maintain all forms, supplies and equipment for volunteers.
Provide safe opportunities for volunteers of all ages, including large groups, and remain familiar with legal requirements for volunteering with HT.
Respond to volunteer feedback, questions, ideas and concerns.
Check with volunteers on a regular basis to ensure that they are having a rewarding visit and that their needs are being met.
Provide regular on-site and virtual volunteer recruitment and training opportunities.
Assist staff with their duties as requested and authorized by supervisor.
Coordinate volunteers for Tails Out adventures.
Keep up with relevant information about the animals (adoptions, special needs, behavior etc.).
Modeling appropriate dog handling techniques for volunteers and educating volunteers about dog behavior.
Other duties as assigned.

Skills and Experience:

Previous customer service experience in public facing roles is required. Experience working with volunteers is a plus.
High level of interpersonal skills, a team player, personable, professional, and able to get along with people from different backgrounds, as well as the ability to handle sensitive and confidential situations with tact and diplomacy.
High level of leadership and initiative to grow program.
Ability to listen to volunteer concerns with empathy. Discretion and confidentiality are a must.
Excellent verbal and written communications skills.
Ability to make sound judgments, work independently in a fast-paced environment, and multi-task.
Outstanding organizational skills and attention to detail.
Ability to advocate Homeward Trails position on various issues.
Flexibility and willingness to cross train, a desire to take initiative, jump in and assist wherever needed, and rotate to other animal and non-animal related departments.
Ability to work with, leash, kennel, walk, and handle dogs.
Proficiency with Google Suite products and Microsoft Word and Excel; familiarity with shelter software/volunteer management software, or desire to learn.

Physical Requirements:

Must be able to lift up 50 pounds.
Work indoors and outdoors in a variety of weather conditions including extreme heat and cold.
Regular handling and exposure to dogs of all sizes, temperaments, and medical status.
Must have a valid driver's license for at least 3 years and own vehicle for use in local travel.

Reporting & Benefits

This position is a full-time position and will report directly to the HT Deputy Director. Position will also work closely with the Directors of the HT Adoption Center, Trails Home Farm, Dog and Cat Programs and other staff and volunteers overseeing events, volunteers and animals.

Eligible employees receive health insurance benefits through the organization.

Compensation will be competitive and determined based on the candidate's experience, skills, and qualifications.

This position will mostly be based out of the HT Adoption Center in Fairfax City, VA. Some travel to the Trails Up Farm in Delaplane, VA may be required, in addition to local travel for events.

About Homeward Trails

Homeward Trails Animal Rescue is a non-profit 501(c)(3) organization. Founded in 2002, we secure temporary and permanent homes for thousands of dogs and cats annually who are rescued from under-resourced communities and shelters or whose owners can no longer care for them. We operate an Adoption Center in Fairfax City, a farm in Delaplane and a full-time rescue program in Danville, VA in addition to a robust foster program in the Washington/DC/Maryland region.

We also provide spay/neuter and Trap-Neuter-Vaccinate-Return services for hundreds of community cats and owned dogs annually through our Trails UP program, which operates in Virginia’s most under-resourced communities.
