Full Job Description

Office Manager

Position Overview

The Office Manager is responsible for overseeing the company’s day-to-day administrative operations, ensuring the workplace operates efficiently, professionally, and in compliance with applicable policies and regulations and assisting with accounting tasks. This role serves as a key liaison between employees, leadership, internal departments, vendors, insurance providers, the PEO, and other external partners.

The ideal candidate is highly organized, detail-oriented, professional, and capable of managing multiple priorities in a fast-paced environment. This position requires strong communication, problem-solving, and interpersonal skills, as well as the ability to handle confidential employee and business information with discretion.

Key Responsibilities

Human Resources & Employee Administration

Manage full-cycle recruiting, including developing job descriptions, posting positions, screening resumes, coordinating interviews, and supporting hiring decisions in partnership with leadership.
Manage the complete employee onboarding and offboarding process, including new-hire setup, terminations, documentation, system updates, and coordination with the PEO.
Support employee relations matters, including documentation, performance discussions, workplace concerns, and investigations.
Provide guidance to employees and managers regarding company policies, benefits, attendance, leave, and workplace-related matters.
Maintain accurate and confidential employee records and ensure HR documentation is current and compliant.
Coordinate visa, passport, and work authorization documentation and renewals as needed.
Support payroll processing by coordinating employee and payroll data between Accounting and the PEO.
Administer employee benefits, including open enrollment, insurance renewals, and ongoing employee support.

Compliance, Safety & Risk Management

Maintain compliance with company policies, federal, state, and local employment laws and regulations.
Coordinate workers’ compensation claims and communicates with insurance carriers and the PEO as needed.
Coordinate Workers’ Compensation, General Liability, and other company insurance programs.
Maintain OSHA compliance documentation, safety records, training records, and incident reports.

Office & Administrative Operations

Oversee daily office operations and coordinate administrative activities to ensure an efficient and professional work environment.
Serve as a primary point of contact between leadership, employees, departments, vendors, and external partners.
Coordinate meetings, company events, travel arrangements, and other administrative needs for team members and executives.
Support special projects and other administrative responsibilities as assigned by leadership.

Accounting & Vendor Administration

Process vendor invoices, enter bills, and track outgoing payments.
Set up new vendors in system.
Complete vendor credit applications and obtain required W-9 forms and other documentation.
Set up new customers in system.
Complete customer applications, questionnaires, and required documentation.
Coordinate with Accounting and other departments to ensure accurate and timely processing of financial and administrative information.

Qualifications

2–5 years of experience in office management, human resources, accounting.
Bachelor’s degree preferred but not required.
Excellent written and verbal communication skills.
Strong problem-solving and decision-making abilities.
Strong attention to detail and accuracy.
Ability to work independently while collaborating effectively with leadership, employees, vendors, and external partners.

Pay: $75,000.00 - $90,000.00 per year
