We specialize in premium ski and snowboard travel experiences throughout Japan. Our carefully crafted journeys combine legendary powder snow, authentic Japanese hospitality, luxury accommodations, expert guiding, and the local knowledge to create extraordinary and memorable experiences for our guests.

The Opportunity

We're looking for someone who shares our enthusiasm for Japan, skiing or snowboarding, and creating memorable premium travel experiences.

As our Travel and Operations Specialist, you'll work closely with the Founder across almost every aspect of the business. From designing incredible itineraries and helping guests plan the trip of a lifetime to coordinating suppliers, managing bookings, supporting marketing initiatives, and continually improving the way we operate.

You'll play a central role in ensuring both our guests and our business are exceptionally well looked after, from the first client inquiry through to the successful delivery of every tour. As the business grows, you'll help build the systems, processes, and operational foundations that support our continued success.

What You'll Be Doing

Creating Exceptional Guest Experiences

· Respond promptly and professionally to client inquiries.

· Prepare travel proposals, quotations, invoices, and travel documents.

· Coordinate lodging, transportation, guiding, ski rentals, activities, dining reservations, and other travel services.

· Build genuine relationships with clients and deliver the personalized service that defines the JAPOW Vacations experience.

Keeping the Business Running Smoothly

· Manage booking administration, travel documents, client records, supplier communications, payment tracking, and operational timelines to ensure every journey runs seamlessly.

· Coordinate our social media content calendar and assist with creating and publishing engaging content.

· Help develop and refine business systems, templates, SOP’s and workflows that improve efficiency, consistency, and the overall guest experience.

· Support the day-to-day operation of the business by taking ownership of projects, researching new opportunities, and using modern business software and productivity tools, including AI where appropriate—to improve workflow and efficiency.

· Help ensure every proposal, social media post, and client communication reflects the premium JAPOW Vacations brand.

About You

If you are a good fit for this role, you'll probably be someone who is:

· Competent and efficient using standard business technologies including MS Word, Excel and other typical communication and productivity tools

Skills & Experience

Ideally, you'll have an associate or bachelor’s degree and a minimum of 1-2 years of professional experience in the travel industry in an agency setting (not as an independent travel advisor) or as support to an executive role in a professional setting such as an executive assistant, operations manager or office manager. You'll enjoy balancing client service with the behind-the-scenes work that keeps a business running smoothly.

You will demonstrate excellent communication and organizational skills and be proficient using Microsoft Office and common business software. Proficiency with itinerary management tools, bookkeeping software, social media platforms and AI productivity tools is highly desirable.

Above all, we're looking for someone who is dependable, proactive, highly detail-oriented, and enjoys making a meaningful contribution to a growing business.

Bonus Points

Experience in any of the following would be a plus:

· A successful previous customer facing role with a high customer service expectation

· A successful previous role in the adventure travel industry

· Proven social media marketing skills and experience

· Social media content creation using CapCut or similar

· Bookkeeping using Xero or similar

· Competent and efficient using Adobe Photoshop and/or Adobe Illustrator

· Experience traveling in Japan and knowledge of Japanese culture and social etiquette

· Experience skiing/snowboarding in Japan, especially in the Hokkaido and Nagano prefectures

The Details

This is a permanent part-time position, Monday to Friday 5 days per week, averaging 20-25 hours per week.

The position is remote within Colorado.
