Full Job Description

Position Overview

We are seeking an experienced full-time Executive Assistant to the Principal Consultant for an on-site position in Columbus, Ohio. The successful candidate will support business operations, proposal development, client communications, scheduling, travel coordination, and day to day administrative coordination. This position will report directly to the company owner and serve as a trusted partner in managing priorities, coordinating activities, and supporting the day-to-day operations of a growing consulting practice. A high level of professionalism, discretion, initiative, and adaptability is required.

The successful candidate is a highly organized, proactive, and dependable self-starter with strong problem-solving skills. They anticipate needs, communicate professionally, work independently, exercise sound judgment, maintain confidentiality, and manage multiple priorities with minimal supervision. They should also be open-minded, willing to ask questions, able to learn quickly, and comfortable working directly with senior leadership in a small, fast-paced consulting environment.

Position Responsibilities include, but are not limited to:

Managing executive priorities and tracking commitments, deadlines, and follow-up actions to help ensure that projects, business activities, and client deliverables remain on schedule

Serving as a professional first point of contact for clients, prospective clients, vendors, and business partners

Answering incoming telephone calls, routing inquiries appropriately, and ensuring timely follow-up on client and business communications

Preparing, typing, formatting, and proofreading correspondence, memoranda, reports, proposals, and other business documents

Coordinating proposal development activities, including managing proposal schedules and submission requirements, assembling documents, and reviewing proposals, reports, and client deliverables for accuracy, completeness, consistency, formatting, and professionalism before submission

Managing calendars and maintaining business contact information

Coordinating travel arrangements, including flights, lodging, rental vehicles, itineraries, and related logistics for staff travel

Maintaining client, contact, and business development information within company databases and filing systems

Maintaining organized electronic and hard-copy filing systems

Performing other related duties as assigned

Requirements/Qualifications

Required Qualifications

Five or more years of executive or administrative support experience, preferably supporting senior leaders or business owners

Exceptional proofreading, grammar, and document-formatting skills

Demonstrated ability to manage multiple competing priorities with minimal supervision

Advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Teams

Excellent written and verbal communication skills

Strong customer service orientation

Strong attention to detail and the ability to respond to time-sensitive priorities

Ability to exercise sound judgment and maintain confidentiality

Working knowledge of general office equipment, including copiers and scanners

Ability to successfully complete a drug screening and criminal background check

Preferred Qualifications

Bachelor’s degree or an equivalent combination of education and professional experience

Experience supporting a consulting, engineering, architectural, accounting, or other professional services firm

Experience supporting proposal development or professional document production

Creativity and the ability to identify practical improvements to administrative processes
