Job Description

We are seeking an exceptionally organized, polished, and dependable professional to join one of the premier aesthetic practices in the Fort Worth area. This individual will play a vital role in creating an elevated patient experience through thoughtful service, meticulous attention to detail, and unwavering follow-through. Responsibilities

Front Desk & Patient Experience (Primary Focus)

Serve as the first point of contact for all patients, both in person and by phone
Create a welcoming, professional, and polished front desk experience
Manage patient check-in and check-out efficiently and accurately
Maintain patient confidentiality and uphold HIPAA standards

Phone Management, Lead Intake & Pre-Screening

Answer incoming calls promptly, professionally, and with confidence
Handle multiple incoming calls efficiently while maintaining composure
Manage new patient inquiries and practice leads with empathy and professionalism
Conduct initial intake and pre-screen potential plastic surgery candidates
Gather required information to determine candidacy prior to consultation
Set clear expectations regarding consultations, timelines, and next steps
Document lead details accurately and relay qualified leads to the Patient Coordinator

Scheduling & Administrative Support

Assist with scheduling consultations, follow-ups, and appointments
Confirm appointments and support efficient daily schedule flow
Prepare patient charts and assist with administrative documentation
Facilitate smooth communication between patients, providers, and staff

Office, Lobby & Environment Maintenance

Maintain a clean, organized, and welcoming lobby and front desk area
Ensure patient-facing spaces reflect a polished, luxury environment
Monitor supplies and notify management of office needs
Assist with general office organization as needed

Patient Coordination Support (Secondary / Growth Opportunity)

Assist the Patient Coordinator with administrative and follow-up tasks
Support patient communication and next-step guidance when appropriate
Learn patient consultation and coordination workflows over time

Skills & Qualifications

Qualifications & Experience
- Bachelor's degree in Business, Marketing, Communications, Healthcare Administration, Hospitality, or a related field preferred
- 2+ years of experience in luxury hospitality, medical aesthetics, plastic surgery, concierge medicine, or a high-end front office environment
- Professional appearance with exceptional interpersonal communication skills and emotional intelligence
- Confidence and professionalism when discussing sensitive, personal, or high-value treatment decisions with patients
- Highly organized and detail-oriented with outstanding time management and multitasking abilities
- Strong computer proficiency, including experience with EMR systems, scheduling software, CRM platforms, and patient communication tools
- Prior experience supporting sales consultations, patient conversions, or high-ticket customer service is highly preferred
- Demonstrated ability to build trust, establish rapport, and deliver an elevated patient experience
- Passion for aesthetics, wellness, and patient care with a desire to grow into a patient-facing sales and consultation role
- Self-motivated, proactive, and driven to contribute to the growth and success of a fast-paced aesthetic practice
