Overview

Job Title: Office AssistantJob Summary

We are seeking a dependable, organized, and customer-focused Office Assistant to support the daily operations of our tree service company. The Office Assistant serves as the first point of contact for customers, manages office administrative tasks, coordinates scheduling, and assists with billing and recordkeeping. The ideal candidate is detail-oriented, able to multitask in a fast-paced environment, and communicates professionally with customers and team members.

Key Responsibilities

Answer incoming phone calls and respond to customer inquiries in a professional and courteous manner.
Schedule estimates, tree service appointments, and crew assignments.
Prepare and send estimates, invoices, and customer correspondence.
Maintain customer records, job files, and office documentation.
Process payments and assist with accounts receivable and accounts payable.
Coordinate with field crews regarding schedules, job updates, and customer requests.
Monitor email communications and respond promptly to customer and vendor inquiries.
Order and maintain office supplies and equipment.
Assist with permit applications and utility notifications when required.
Maintain accurate calendars for appointments, inspections, and project deadlines.
Enter and update information in scheduling, accounting, or customer management software.
Assist with payroll preparation by collecting employee timecards and related documentation.
Perform data entry, filing, scanning, and general clerical duties.
Support management with reports, recordkeeping, and special administrative projects.
Follow company policies while maintaining confidentiality of customer and employee information.

Qualifications

High school diploma or equivalent required.
Previous office administration or customer service experience preferred.
Experience in the landscaping, tree service, construction, or related industry is a plus.
Proficiency with Microsoft Office (Word, Excel, Outlook) and basic computer applications.
Excellent organizational, communication, and multitasking skills.
Strong attention to detail and problem-solving abilities.
Ability to work independently and as part of a team.

Physical Requirements

Ability to sit, stand, and use a computer for extended periods.
Ability to lift up to 25 pounds occasionally.
Ability to perform routine office tasks, including filing and document handling.

Work Environment

This position is work from home setting with occasional field days to familarize yourself with industry, team and company. The Office Assistant will regularly communicate with customers, field crews, vendors, and management to ensure efficient daily operations and excellent customer service.
