Full Job Description

Overview:

The Harbor corporate receptionist is the main point of contact for all visitors and entrants to our corporate office lobby. The Receptionist is responsible for handling front office reception and administrative duties, including greeting guests, answering phones, handling company inquiries and responsibilities with focus on a pleasant and welcoming demeanor, and a reflection of Harbor’s values and positive attitude in, at times, a very busy front desk/lobby. The position provides support and assistance to the Customer Service Team routinely and is a key team member in this department.

Compensation: $21-23/hr Schedule: 8:00AM - 4:30PM Monday - Friday

Responsibilities:

Essential Job Functions:

Welcome visitors in person and by telephone, providing a professional first point of contact by answering inquiries and directing calls to the appropriate departments.
Greet and check in visitors, issuing visitor badges and directing or escorting them to their destinations as needed.
Maintain facility security by following established visitor procedures, monitoring visitor logs, and ensuring compliance with access protocols.
Ensure the reception area remains clean, organized, and professional at all times.
Process customer orders, shipping documentation, and credit requests accurately and efficiently.
Maintain, reconcile, close, and invoice Cash & Carry and employee route transactions.
Assist customers with order pickups, ensuring a positive and efficient customer experience.
Accurately process and record cash and check payments in accordance with company procedures.
Print, monitor, and maintain product or shipping tags as required.
Monitor office supply inventory and coordinate replenishment to ensure adequate stock levels.
Maintain the postage meter by monitoring postage balances and replenishing funds as needed.
Work independently while collaborating effectively and respectfully with team members across departments.
Support overall departmental and organizational objectives by contributing to team initiatives and completing additional assignments as needed.

Qualifications:

Knowledge, Skills, and Abilities:

Interacting with Computers – Using computers and computer systems (including hardware and software) to enter data and process information accurately
Ability to multi-task handling medium to high levels of calls consistently while entering data
Ability to provide positive interpersonal/communication telephone skills; active listening, oral comprehension, oral expression, problem sensitivity, critical thinking and social perceptiveness
Customer and Personal Service – Knowledge of principles for providing excellent customer service and personal service including customer needs assessment and evaluation of customer satisfaction.
Ability to work well with other employees to foster a respectful and professional work environment
Must maintain a high degree of confidentiality
MS Office suite at a proficient level; MS NAV preferred but not mandatory.

Education and Experience:

High School Diploma
Customer service training preferred.
Stable work history
Front desk environment or high-volume customer and client-facing experience required.
2+ years related experience and/or training; or equivalent combination of education and experience.
MS Office suite with excellent skills in Outlook with professional email etiquette is required.
