Guest Experience & Booking Specialist

Are you passionate about sales, customer service, and helping people feel their best?

VIO Med Spa is looking for an energetic, motivated, and outgoing Guest Experience & Booking Specialist to join our growing team.

This is not your typical front desk position

We're looking for someone who enjoys talking with people, thrives on achieving goals, and loves turning inquiries into booked appointments. If you have a strong customer service background, enjoy making outbound calls, and are motivated by helping a business grow, we'd love to meet you.

You'll play a key role in keeping our providers' schedules full while delivering the luxury experience our guests expect.

What You'll Do

Lead Generation & Appointment Booking (Primary Focus)

Contact new leads by phone, text, email, and other communication channels.
Follow up with prospective guests who have expressed interest but haven't booked.
Re-engage past guests and inactive leads.
Schedule consultations and treatment appointments.
Educate guests on aesthetic services, memberships, packages, financing, and promotions.
Build relationships that convert inquiries into lifelong clients.
Maintain accurate guest notes and follow-up activity in Zenoti.
Help maximize provider schedules by consistently converting leads into appointments.

Guest Experience & Front Desk Support

Welcome guests and create an exceptional first impression.
Check guests in and out efficiently.
Answer incoming phone calls.
Schedule, reschedule, and confirm appointments.
Process payments and maintain guest records.
Promote memberships, retail products, and treatment packages.
Maintain a clean, organized, and professional reception area.
Support the team with administrative tasks as needed.

What We're Looking For

We're searching for someone who:

Loves talking with people and building relationships.
Is confident making outbound phone calls.
Has a positive, energetic personality.
Enjoys sales without being pushy.
Is organized, dependable, and self-motivated.
Can multitask in a fast-paced environment.
Has excellent communication and customer service skills.
Takes pride in delivering an exceptional guest experience.

Qualifications

Minimum of 2 years of customer service or sales experience.
Previous experience in a med spa, aesthetics, healthcare, salon, wellness, or hospitality environment preferred.
Outbound sales, appointment setting, or lead follow-up experience is highly preferred.
Experience with Zenoti or similar scheduling software is a plus.
Professional appearance and excellent communication skills.

Lead response time.
Outbound calls and follow-up activity.
Consultations booked.
Treatment appointments booked.
Lead conversion rate.
Appointment show rate.
Membership sales.
Retail sales.
Guest satisfaction.
