Full Job Description

THE POSITION

The Administrative Assistant 1 position with the Department of Environmental Protection offers a chance to support important environmental efforts across the region. This role places you at the center of daily operations where your organizational skill will help keep projects moving smoothly. You will join a team that values clear communication and steady follow-through. This opportunity will allow you to grow your administrative knowledge while making a positive impact.

DESCRIPTION OF WORK

This position supports the Regional Business Office by managing complex administrative tasks across purchasing, contracts, accounts payable, and data systems. The role ensures that office operations run smoothly and that procedures follow Commonwealth rules and standards. As a Administrative Assistant 1, you will perform the following duties:

Procurement Support: Coordinate purchasing activities and prepare required documentation for bids, specifications, and purchase contracts
Contract Management: Develop contract materials, review bids, and assist with compliance and award processes
Invoice Processing: Verify shipments, manage payments, and maintain records for utilities, goods, and service invoices
Data Coordination: Maintain databases, update financial tracking spreadsheets, and input accurate information in electronic data systems
Operational Assistance: Serve as backup for complaint coordination, mail processing, document routing, permit entry, and UPS package preparation
Knowledge Management: Maintain and update a desk manual and share information to support continuity of operations

Work Schedule and Additional Information:

Full-time employment
Work hours are 8:00 AM to 4:00 PM, Monday - Friday, with a 30-minute lunch.
Telework: You may have the opportunity to work from home (telework) part-time, up to 3 days per week after completion of training period. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg. The ability to telework is subject to change at any time. Additional details may be provided during the interview.
Salary: Selected candidates who are new to employment with the Commonwealth of Pennsylvania will begin employment at the starting annual salary of $46,827 (before taxes).

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS

Minimum Experience and Training Requirements:

Such training as may have been gained through graduation from a four year college or university or any equivalent combination of experience and training.
