Office Administrative Assistant

Location: Raleigh, NC

Summary:
Unit Dose Solutions Inc. (UDS) is a pharmaceutical repackaging company based in Raleigh, NC. Formed in 2005, the Company’s mission is to put patient safety first, and provide packaging services to healthcare facilities (hospitals, long-term healthcare facilities, nursing homes, etc.) and small to mid-sized manufacturers in accordance with good manufacturing practices (“cGMP”).

We are seeking a part-time Office Administrative Assistant to join our team and support payroll, onboarding, records management, and general administrative operations!

Responsibilities:

Process payroll accurately and on time, including reviewing timekeeping records and employee changes.
Coordinate new hire onboarding, including completing required paperwork, maintaining employee files, and assisting with new employee setup.
Assist with employee benefits administration, including enrollments, changes, open enrollment, and terminations.
Serve as a point of contact for employee questions related to payroll, benefits, onboarding, and HR documentation.
Maintain accurate and organized employee files and records in accordance with company policies and regulatory requirements.
Receive, sort, distribute, and prepare outgoing company mail, packages, and other correspondence.
Assist with general office administration, including ordering and maintaining office supplies and coordinating routine administrative needs.
Maintain organized paper and electronic records, including filing, scanning, copying, and document retrieval.
Support document control and tracking activities as needed.
Prepare, process, organize, and file pharmaceutical, quality, and business-related documentation.
Assist with audits, inspections, and internal reviews by organizing and providing requested records and documentation.
Maintain confidentiality of sensitive employee, payroll, business, and company information at all times.
Provide general administrative support to management and other departments as needed.
Perform other administrative duties and special projects as assigned.
Follow company policies, procedures, cGMP requirements, and applicable regulatory requirements.

Qualifications:

High school diploma or GED required; associate degree or higher preferred.
Prior administrative, payroll, HR, office, or related experience strongly preferred.
Ability to read, write, and communicate clearly in English.
Strong organizational skills and attention to detail.
Basic proficiency with Microsoft Office, including Excel, Word, and Outlook, or similar systems.
Ability to manage multiple tasks, prioritize responsibilities, and meet deadlines.
Strong attention to accuracy when handling payroll, employee records, and company documentation.
Ability to handle confidential information professionally and discreetly.
Professional communication and customer-service skills.
Willingness to learn pharmaceutical, cGMP, and regulatory documentation processes.
Ability to work independently while also supporting a team environment.
