Full Job Description

ICF Specialties, Inc. and E J Builders, LLC are family-owned companies based in Spokane, proudly serving the Inland Northwest since 1999. Together, we specialize in Insulated Concrete Form (ICF) construction—from supplying quality ICF products and expert design assistance through ICF Specialties to building durable, energy-efficient homes and commercial projects through E J Builders.

We're looking for an organized, motivated, and dependable Office & Operations Manager to become an essential part of both companies. This position is ideal for someone who enjoys variety in their workday, takes initiative, and thrives in a fast-paced construction environment. You'll serve as the central point of communication for our office, helping keep day-to-day operations running smoothly while supporting customers, field crews, vendors, and our leadership team.

Responsibilities:

Welcome customers and answer incoming phone calls and emails
Manage front office operations and provide exceptional customer service
Manage the CEO's calendar and coordinate daily schedules for both the CEO and field crew
Coordinate communication between the office, customers, vendors, suppliers, subcontractors, and field crews to help ensure projects stay on schedule
Perform light bookkeeping, including data entry, invoice processing, and accounting support
Maintain office and warehouse inventory and assist with placing supply orders as needed
Assist with sales support, preparing quotes, and estimating when appropriate
Provide administrative support to the CEO and CFO
Maintain organized digital and physical filing systems
Assist with project coordination
Keep the office clean, organized, and professional in appearance
Perform other administrative and operational duties as assigned

Qualifications:

Previous experience working in a construction office or construction industry is required
Strong organizational and time management skills with the ability to effectively prioritize competing responsibilities
Self-motivated with the ability to work independently and anticipate the needs of the team
Professional communication and exceptional customer service skills
Comfortable multitasking in a fast-paced environment
Experience with Microsoft Office (Word, Excel, Outlook)
Basic bookkeeping or accounting experience preferred
Experience reading construction plans or assisting with estimating is a plus
Positive attitude, willingness to learn, and strong attention to detail
High school diploma or equivalent required
Formal college education is not required—we value experience, work ethic, and a willingness to grow.

Compensation:

$25-35 per hour DOE
Part time position to start, but will evolve into Full-time position
