Full Job Description

Overview
We are seeking a detail-oriented and efficient Data Entry Specialist to join our team. The ideal candidate will possess strong verbal and organizational skills plus the ability to manage multiple tasks simultaneously. This role is crucial for maintaining accurate records, generation of invoices and ensuring data integrity across various platforms. The Data Entry Specialist will be responsible for inputting, updating, and managing data within our databases while providing administrative support as requested.

Responsibilities

Accurately collect, enter and update data and images into databases.
Collaborating with Team members and Field personnel to obtain any missing materials
Perform order entry tasks, ensuring all details are captured correctly (documents, images, field related information).
Utilize Microsoft Teams and Excel to locate, organize , create and update invoice files.
Adhere to Standard Operating Procedures and Checklists for invoicing.
Utilize Excel for data manipulation, including creating and managing pivot tables.
Assist with administrative duties as required, including filing and document management.
Collaborate with financial team members to ensure data accuracy and completeness of invoices or other documents.
Makes requested updates to invoices after Reviewer (Financial Analyst) has completed their review. This may be an iterative process until invoice is ready for final review.
Keep sensitive information confidential.

Requirements

Proficiency in data entry with a high level of accuracy is required.
Strong computer skills, particularly in Microsoft Excel, Teams and database management systems.
Experience with pivot tables and other advanced Excel functions is preferred.
Ability to transcribe information accurately from various formats.
Familiarity with order entry processes is a must.
Excellent organizational skills with attention to detail.
Ability to use critical thinking skills to analyze and create invoices.
Strong communication skills, both written and verbal.
Ability to work independently as well as part of a team.
