Full Job Description

Job Overview
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to senior management. The ideal candidate will excel in managing schedules, coordinating projects, and handling a variety of office tasks with professionalism and efficiency. This role requires excellent communication skills, strong attention to detail, and the ability to multitask in a fast-paced environment. The Executive Assistant will play a vital role in ensuring smooth daily operations and supporting the executive team’s strategic initiatives.

Responsibilities

Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements.
Prepare and proofread correspondence, reports, presentations, and other documents with high accuracy.
Coordinate projects and events, including planning logistics, booking venues, and handling vendor communications.
Handle phone inquiries with professional phone etiquette, screen calls, and direct messages appropriately.
Perform data entry, filing, and record keeping to ensure organized documentation systems.
Assist with bookkeeping tasks using QuickBooks and perform basic bookkeeping functions as needed.
Support office management duties such as managing multi-line phone systems, front desk responsibilities, and maintaining office supplies.
Facilitate transcription of meetings or notes and assist with document signing via DocuSign.
Provide personal assistant support including task prioritization, project coordination, and miscellaneous administrative duties.
Ensure confidentiality of sensitive information while providing executive administrative support.

Skills

Proven experience in office management, administrative support, or as a personal assistant.
Strong organizational skills with the ability to prioritize tasks effectively.
Excellent typing speed and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
Familiarity with project coordination tools and calendar management software.
Experience with bookkeeping software such as QuickBooks; basic bookkeeping knowledge is a plus.
Exceptional communication skills including phone etiquette and professional correspondence writing.
High level of computer literacy with the ability to adapt to new software quickly.
Attention to detail for proofreading documents and data entry accuracy.
Ability to handle multiple tasks simultaneously while maintaining professionalism under pressure.
Knowledge of event planning logistics is desirable but not required. This Executive Assistant role offers an exciting opportunity to support leadership within a dynamic organization while utilizing a diverse set of administrative skills in a professional setting.

Pay: $44,000.00 - $65,000.00 per year
