Office Administrator

Armour Unsderfer Engineering (AUE)
Bellevue, Washington | Full-Time | In-Person

Armour Unsderfer Engineering (AUE) is a structural engineering firm celebrating over 20 successful years of building strong relationships and stronger structures.

Founded in Washington State in 2003, AUE expanded to New York in 2013 and now supports projects across North America with team members located nationwide. We are licensed in all 50 U.S. states and multiple Canadian territories, allowing us to move quickly and support clients wherever great projects happen.

We are seeking a highly organized, proactive, and people-centered Office Administrator to join our Bellevue headquarters. This role is essential to keeping our operations running smoothly and supporting the engineers, leadership team, and clients who rely on AUE every day.

This is a full-time, in-person position.

Position Summary

The Office Administrator serves as the operational heartbeat of the office. This role balances administrative coordination, project support, financial processing, and employee assistance while helping maintain the collaborative, positive culture AUE is known for.

Key Responsibilities

Administrative Operations

Oversee daily office operations and organization
Maintain filing systems, records, and documentation
Coordinate office supplies, vendors, and facilities needs
Manage contracts, proposals, and administrative workflows

Project & Client Support

Assist with proposal preparation and project setup
Support new client onboarding and documentation requirements
Track contracts and assist with contract review coordination
Ensure project records are accurate and complete

Financial & Billing Assistance

Support professional service billing and invoice generation
Assist with accounts payable and accounts receivable
Help resolve outstanding or rejected invoices
Coordinate expense tracking and documentation

HR & Employee Coordination

Assist with employee onboarding and administrative HR tasks
Support timesheet and expense processes
Coordinate benefit administration including health insurance, 401(k), and HSA programs
Maintain employee records and internal communications

IT & Software Coordination

Serve as liaison with IT providers for support requests
Track and manage software licenses (Revit, Microsoft, etc.)
Coordinate hardware setup and asset management

Qualifications

Associate’s degree or equivalent professional experience
3+ years of progressive office administrative experience
Proficiency with Microsoft Windows, Outlook, Word, Excel, Access, and QuickBooks
Comfortable working with modern office technology and systems
Strong organizational skills and attention to detail
Ability to work independently after onboarding
Professional communication skills and a collaborative mindset
Bookkeeping experience is a plus
