Full Job Description

We are seeking an Administrative Assistant Transportation to join our team! This is an evening position.

You will perform clerical and administrative functions in order to drive company success.

United Fruit and Produce is a wholesale produce distributor servicing clients all over the Midwest. Throughout our operation, we work as one team to ensure we are delivering the highest quality products and satisfaction to consumers. Our rapidly growing operation has been in business for over 100 years in St. Louis, Missouri, and we look forward to continuing this tradition for many years to come.

Job title: Administrative Assistant (Transportation)

Classification: Exempt, O/T Ineligible

Salary range: $18-$20/hr

Benefits: Company paid health insurance, elective vision and dental insurance, option to participate in medical and dependent FSA, 401k with company match at 2%, and paid time off.

Reports to: Transportation Dispatcher

Responsibilities:

- Request/ Follow up on updates on the trucks of previous days loaded, and day of loading.

-Keep all shared excel sheets up to date

- If a carrier is not answering through email, please call driver/ dispatch to obtain update.

- If a buyer requests an update

- he/ she should be given a response in a timely manner. This should be considered as a priority.

- Inform buyer (s) and team coast if a truck broke down or is Not make it to on time for pick up. Make sure to send an email and text messages to both parties.

- Please keep handy buyers contact information on work schedule.

- Respond to all emails and calls from carriers during this time. You are expected to resolve issues and answer questions.

- If an ETA on a truck changes, revise and resend the updated sheet of the list that changed.

- If a dispatcher/ driver does not provide an ETA, please reach out to Team Coast Lead. Ask if she has an additional contact that could help with an ETA.

- All dispatchers must be on the same page.

- If there is an emergency with a truck that might include a possible claim, stop any contact with the carrier. Reach out to Team Lead so she can give you instructions or manage the issue.

Competency: Basic math skills, communication skills, and attention to detail are critical to the success of this role.

Required education and experience: No education is required, but administrative assistant experience is necessary. Qualified candidates must also have basic computer skills and knowledge of Microsoft applications including Excel and Outlook.

Preferred education and experience: Fluent in written and spoken Spanish and English is preferred, but not required.

Monday to Friday 3pm-11pm (plus 2 weekends a month-rotating)

Work Location: Part in office, part remote

Responsibilities:

Draft correspondences and other formal documents
Plan and schedule appointments and events
Greet and assist onsite guests
Answer inbound telephone calls
Develop and implement organized filing systems
Perform all other office tasks

Qualifications:

Previous experience in office administration or other related fields
Ability to prioritize and multitask
Excellent written and verbal communication skills
Strong attention to detail
Strong organizational skills
