About Us
Statewide Restoration Services is a fast-growing restoration company specializing in fire, water, and environmental damage restoration. We pride ourselves on responsiveness, professionalism, and delivering excellent service to homeowners, insurance carriers, and property managers. We are looking for a strong Administrative Assistant / Accounts Receivable professional who is organized, assertive, and comfortable handling collections and customer communication.

Position Overview
This role combines administrative support with Accounts Receivable and collections responsibilities. You will manage job files, communicate with insurance adjusters and customers, track invoices, and help ensure timely payment. This position requires someone who is detail-oriented, confident on the phone, and able to follow up consistently.

Responsibilities

Manage Accounts Receivable and collections for open invoices
Follow up with insurance adjusters, TPAs, and customers for payment
Make outbound calls and send emails regarding past-due balances
Maintain accurate notes and documentation in CRM system
Prepare and send invoices, statements, and payment reminders
Assist with job file setup and administrative documentation
Track billing status and provide weekly AR and collections reports
Support scheduling and general office administrative tasks
Communicate professionally with customers, adjusters, and vendors
Help maintain organized job files and office workflow

Qualifications

2+ years administrative or accounts receivable experience preferred
Collections experience strongly preferred
Comfortable making frequent phone calls and payment follow-ups
Strong organization and attention to detail
Professional communication skills (phone and email)
Ability to multitask in a fast-paced environment
Experience with CRM systems (Service Fusion a plus)
Proficient in Microsoft Office (Excel, Word, Outlook)
Restoration, construction, or insurance industry experience is a plus
Bilingual (English/Spanish) is a plus
