Location: Arlington, VA (100% Onsite)
Schedule: Sunday–Thursday | 8:00 AM – 5:00 PM
Employment Type: Contract (3–4 Months)

About the Opportunity:

A mission-driven organization is seeking an organized and relationship-focused Operations & Administrative Manager to support day-to-day operations, facility coordination, community engagement initiatives, and administrative functions at a busy and growing location.

This is a highly visible role that serves as a central point of coordination across operations, events, communications, facilities, and community programs. The ideal candidate enjoys wearing multiple hats, building relationships, and ensuring that both internal teams and external stakeholders have an exceptional experience.

The position offers a unique blend of administrative leadership, event coordination, operational support, and community engagement responsibilities.

The Role

The Operations & Administrative Manager serves as a key operational partner responsible for keeping daily activities organized and running smoothly. This person will coordinate facility usage, support events and programs, manage vendor and invoice-related processes, oversee administrative workflows, and help facilitate community engagement initiatives.

Success in this role requires strong organizational skills, exceptional follow-through, and the ability to manage multiple priorities simultaneously in a fast-paced environment.

Key ResponsibilitiesOperations & Facilities Coordination

Serve as a primary point of contact for facility and building-related matters.
Coordinate facility usage requests and scheduling for internal and external groups.
Work with vendors and service providers to support operational needs.
Assist with purchasing, invoice processing, reimbursements, and expense tracking.

Administrative & Project Support

Coordinate meetings, prepare agendas, document action items, and track follow-up tasks.
Maintain records, reports, databases, and operational documentation.
Support leadership with administrative and project coordination activities.
Assist with communications and information distribution.

Events & Program Coordination

Coordinate classes, meetings, workshops, and special events.
Manage registrations, supplies, catering, setup, and event logistics.
Support volunteer engagement and onboarding initiatives.
Assist with guest experience and participant follow-up processes.

Communications & Community Engagement

Support website updates, social media activity, and internal communications.
Maintain accurate group rosters, participation records, and community information.
Respond to inquiries and provide exceptional customer service to visitors and stakeholders.
Help foster connections and engagement across various community initiatives.

QualificationsRequired

2–5+ years of administrative, executive support, office management, operations, or coordination experience.
Experience working directly with vendors and external stakeholders.
Invoice processing, expense reporting, or accounts payable support experience.
Calendar management and meeting coordination experience.
Strong organizational and project coordination skills.
Excellent written and verbal communication abilities.
Ability to manage multiple deadlines and priorities simultaneously.
Strong customer service and relationship-building skills.

Preferred

Experience supporting community-based, nonprofit, educational, or mission-driven organizations.
Experience supporting events, volunteer programs, or community initiatives.
Experience with CRM, database, or membership management systems.
Experience managing operational workflows and reporting.

Pay: $28.00 - $32.00 per hour

Work Location: In person
