Position Summary: The Tour Guide Office Manager works under the Assistant Director of Visitor Services hiring, training, supervising, scheduling and demonstrating sustained leadership in the daily operations of Capitol Information and Tour Guide Service. Serves as the manager of the Texas Capitol Information and Guide Service by supervising and developing tour guide personnel. Works under general supervision, with limited latitude for the use of initiative and independent judgment. Regularly and randomly observes tour guides on tour to provide objective, developmental feedback and to promote high quality tours and customer service for the public. Regularly responds to internal and external requests for information and assistance, including requests related to: historical subjects, addresses, locations, directions, special service requests, reservations and events at the Capitol. Leads, observes, and accompanies tour guides and visitors on tour as required to properly manage daily operations. Provides relevant information and commentary. Performs all other duties as assigned. Duties performed require continuing flexibility in Visitor Services operations. Work hours are based on the Agency's 365 day-per-year schedule and include weekends, some evenings and holidays, including on short notice. Must be available to work a minimum one weekend a month and holidays.

· Provides daily oversight and coordination of Visitor Services at the TGO and leads the TGO team in achieving high levels of customer satisfaction. Oversees programs, staff and activities, including scheduling, customer service delivery, public outreach and marketing. Works with Visitor Services Assistant Director and the Interpretive Trainer to ensure positive TGO staff development and training.
· Supervises TGO staff and oversees hiring, performance management, mentoring and all related duties necessary to achieve and sustain employee productivity, high levels of customer service and morale.
· Plans, implements, coordinates, monitors and evaluates programs on an on going basis. Works closely with the Interpretive Trainer to prepare and update training and operational manuals and educational tour materials.
· Promptly and accurately responds to public inquiries in a timely manner about the TGO, other programs and agency information in person, on the telephone and electronically, including through social media channels. Responds, troubleshoots and resolves customer concerns.
· Performs administrative duties including reviewing and approving leave requests, and approving CAPPS entries. Works closely with the Leave Coordinator to ensure proper leave reporting. Works closely with the Payroll Coordinator to ensure accurate and timely processing of payroll procedures.
· Supervises and assists with training the future VS Assistant Manager to assist with program goals and objectives; evaluates program activities and tours; reviews accuracy of tour statistical reporting; oversees staff scheduling, checks daily tour scheduling, approves CAPPS entries and adheres to VS and SPB policies and procedures. Develops procedures, trains staff and monitors compliance with all procedures.
· In cooperation with the Visitor Services Assistant Director, coordinates with the future VS Assistant Manager and Interpretive Trainer to create and monitor content for school-aged tours at the TGO. Supports agency educational offerings at the Capitol, Capitol Grounds, CVC, State Cemetery and Governor's Mansion.
· In conjunction with the CVC Manager, implements a unified Visitor Services team-oriented vision and focus to better serve visitors to the Capitol, Capitol Grounds, CVC, State Cemetery and Governor's Mansion and ensure proper internal coordination and communication of operational issues. Works under the general direction of the Visitor Services Assistant Director and ensures that the Visitor Services Director remains informed of significant operational issues and decisions. Makes routine recommendations to the Director and Assistant Director to improve Capitol Visitor Services.
· Schedules and manages public, seasonal, specialty and scheduled tour groups. Markets Capitol Visitor Services and other agency programs to the public to encourage attendance and repeat visits. Promotes a positive and professional image to tour guides and the public. Maintains a professional, respectful and service-oriented focus when interacting with other agency employees, visitors, event holders, building occupants and the public.
· Follows up with the Visitor Services Reservations Team regarding unconfirmed group tours or clarification on group tour notes and instructions.
· Analyzes Visitor Services operations and programs with input from visitors and staff at the TGO. Generates reports on the effectiveness of programs. Works with staff to identify problems and implement solutions to improve service and programs.

Knowledge, Skills and Abilities:
· Ability to prepare public information for the TGO ensuring educational purpose and overall accuracy of content. Prepare scripts for external publication in print and digital format according to agency standards.
· Ability to support the development, implementation and maintenance of agency digital interpretive initiatives including mobile apps, cell phone tours and digital signage in a team environment.
· Demonstrate knowledge and continuing compliance with all applicable safety and security rules, regulations and standards. Plans and manages work with safety and security front of mind. Continuously assesses safety conditions to ensure individual and workplace safety and security of visitors and staff, containing the Agency’s liability and protecting the Agency’s public image. Uses established safety techniques and procedures in all duties. Promotes visitor safety and building security. Assists with emergency responses and evacuations when necessary. Ensures that all TGO staff are well-trained in safety, security and emergency protocols.
· Work under the general direction of the Visitor Services Assistant Director and ensure that the VS Assistant Director remains informed of significant operations issues and decisions. Regularly makes recommendations to the VS Assistant Director to improve TGO Visitor Services.
· Display sound judgment and maintains a professional, respectful and service‐oriented focus when interacting with other agency employees, visitors, event holders and the public
· Skill to ensure prompt submission of accurate, thorough incident reports and briefings for the Director of Visitor Services.
· Skill to ensure tour statistics are accurate and completed within the current statistical recording procedures.
· Ensure requisitions for supplies and services are completed in a timely manner. Follows up on invoices and approves them within the established guidelines.
· Skill to prepare annual and topical budgets, including developing multi-year exhibit and programming projects.
· Adhere to all agency policies and procedures, and ensures timely dissemination of agency policies and management directives to all personnel in the TGO.
· Regular attendance is an essential job duty for all SPB positions.
Minimum Qualifications:
The successful candidate for this position must be detail-oriented and possess the following qualifications:
· Bachelor’s degree with emphasis in history, art history, Museum Studies, library/information science, anthropology, archaeology, or a related field.
· Four (4) years’ experience in museum, historical, cultural, educational programs, or in program development.
· Two years’ supervisory or lead experience.
· Proficiency in use of a personal computer in a Windows environment to perform reporting, data entry, research and spreadsheet functions required.
· This position is not sedentary in nature and requires extended periods of talking, walking and prolonged standing, up to 8 hours daily.
· Fluency in English is required to assist the general public.
Preferred Qualifications:
The ideal candidate for this position will have:
· Master’s degree in one of the above fields.
· Experience as a successful museum registrar, curator, or in conducting tours.
· A Certified Interpretive Guide and/or Certified Interpretive Trainer or Manager.
· Additional supervisory, and training experience is desirable.
· Fluency in a foreign language.
