Position: Invoicing and Payroll Clerk
Job Type: Full-Time
Department: Accounting / Administration

Position Summary

We are seeking an experienced and detail-oriented Invoicing and Payroll Specialist to join our team. This position will be responsible for managing customer invoicing, supporting accounts receivable functions, processing payroll, maintaining accurate payroll records, and ensuring compliance with California and prevailing wage requirements.

The ideal candidate is highly organized, comfortable working in a fast-paced environment, and has strong experience with invoicing, payroll, prevailing wage/certified payroll, and ADP Workforce Now. Experience working in the landscape, gardening, tree service, construction, or related service industry is a strong plus.

Minimum Qualifications

Minimum 2 years of invoicing experience required.
Minimum 3 years of payroll processing experience required.
Previous experience processing prevailing wage and certified payroll.
Hands-on experience using ADP Workforce Now.
Strong understanding of payroll deductions, overtime, timekeeping, payroll corrections, and employee records.
Experience reviewing timesheets and verifying hours before payroll processing.
Strong attention to detail and ability to identify discrepancies.
Ability to manage multiple deadlines and priorities.
Strong computer skills, including Microsoft Excel, Outlook, and general accounting/office software.
Good written and verbal communication skills.
Ability to maintain confidentiality when handling employee and payroll information.
Experience in landscaping, gardening, tree service, construction, or a similar field is highly preferred.

Primary ResponsibilitiesInvoicing & Accounts Receivable

Prepare, review, and submit customer invoices accurately and on time.
Ensure invoices contain proper customer information, job locations, purchase orders, project numbers, descriptions, rates, and supporting documentation.
Review completed work and supporting documents before invoicing.
Track outstanding invoices and assist with accounts receivable follow-up.
Research and correct invoice discrepancies.
Maintain organized electronic and physical invoicing records.
Communicate with customers, project managers, supervisors, and accounting personnel regarding invoice requirements.
Assist with customer-specific billing requirements and portals.

Payroll

Process payroll accurately and on schedule using ADP Workforce Now.
Review employee timecards, hours, overtime, pay rates, deductions, and other payroll information.
Identify and resolve timekeeping or payroll discrepancies before payroll is finalized.
Maintain employee payroll records and documentation.
Process payroll adjustments and corrections as necessary.
Assist employees and management with payroll-related questions.
Maintain strict confidentiality of payroll and employee information.

Prevailing Wage / Certified Payroll

Process payroll for employees working on prevailing wage/public works projects.
Review employee classifications, hours worked, wage determinations, fringe benefits, and applicable prevailing wage rates.
Prepare and submit certified payroll reports as required.
Maintain accurate records for public works and prevailing wage projects.
Assist with compliance documentation and payroll audits.
Monitor projects to help ensure payroll is processed according to applicable prevailing wage requirements.

Preferred Industry Experience

Candidates with previous administrative, accounting, invoicing, or payroll experience in any of the following industries are strongly encouraged to apply:

Ideal Candidate

We are looking for someone who is dependable, organized, accurate, and able to work independently. This position requires someone who understands that both invoicing and payroll are deadline-driven and that accuracy is extremely important.

The successful candidate should be comfortable communicating with field supervisors, management, employees, customers, and accounting personnel to obtain missing information and resolve discrepancies.
