Job Summary

The Metro Transit Administrator is a support role that provides services essential to the organization’s mission and day-to-day operations. This role provides executive-level support to the Executive Vice President/Chief Operating Officer (EVP/COO) of Metro Transit by managing highly sensitive and confidential administrative functions and coordinating with other divisions to advance operational priorities.

Job Responsibilities

Provides executive-level administrative support, handles confidential business matters, works independently on special assignments, and ensures smooth office operations.
Manages day-to-day executive administrative functions, including phone calls, calendar management, meeting scheduling, event coordination, records management, travel arrangements, expense reports, invoices, and correspondence.
Serves as a primary liaison between the EVP/COO of Metro Transit and the workforce to support timely communication and follow-through.
Operates independently in the absence of the EVP/COO of Metro Transit, engaging staff as needed and providing updates on issues requiring awareness or action.
Prepares agendas and supporting materials for meetings and related functions.
Supports coordination of management functions across Operations to improve mission alignment and execution.
Maintains working knowledge of department policies, procedures, and operating practices to perform responsibilities effectively and efficiently.
Tracks projects, programs, and performance measures and follows up on deliverables and due dates.
Performs initial review of budgetary information related to expenditures and researches operational issues.
Prepares and provides budget analyses and summary insights to support leadership decision-making.
Prepares materials for large mailings and drafts, summarizes, and assembles factual reports, letters, and memos in accordance with established standards, including coordinating distribution.
Produces statistical and narrative reports and proofreads and edits materials for accuracy, clarity, grammar, spelling, punctuation, and format.
Collects and organizes records, verifies data accuracy for reporting, and monitors and maintains financial transaction records.
Manages timekeeping and payroll processes for the EVP/COO of Metro Transit’s direct reports, ensuring timely and accurate submission.
Receives and provides information to agency management officials, Commissioners, and personnel, and disseminates approved information to local, state, and federal officials and members of the public in person and by phone.
Interacts with agency officials, the Board of Commissioners, employees, external organizations, government officials, and the public regarding activities, schedules, and procedures.
Oversees projects assigned by the EVP/COO of Metro Transit, prioritizing and managing time-sensitive work to completion.

Knowledge, Skills, and Abilities

Ability to project a highly professional and positive image aligned with the needs of Agency Executives and the Board of Commissioners.
Ability to develop and maintain positive, effective working relationships at all levels, including senior management, through strong verbal and written communication.
Ability to establish work priorities and meet deadlines in a fast-paced, high-pressure environment.
Ability to establish and maintain procedures required for accurate and timely Board mailings.
Strong oral and written communication skills, including the ability to handle complaints and manage sensitive and confidential issues appropriately.
Ability to interact effectively with Agency management officials, Commissioners, Agency staff, and members of the general public.
Ability to work effectively under pressure while managing a high degree of responsibility.
Ability to multitask and manage responsibilities that support multiple departments.
Ability to set priorities independently and adjust to changing needs and deadlines.
Strong ability to compose, proofread, and edit written materials for accuracy, clarity, and professionalism.
Advanced proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
Ability to type at least 50 words per minute (65 words per minute preferred).

Work Environment

Professional office environment supporting executive leadership with frequent computer, phone, and email use.
Regular interaction with the EVP/COO of Metro Transit, senior leadership, Board of Commissioners, and staff across multiple departments.
Fast-paced workload with frequent interruptions, shifting priorities, and time-sensitive deadlines tied to executive and Board schedules.
Routine preparation, coordination, and distribution of Board and executive materials, including large-volume document assembly and mailings.
Frequent use of standard office equipment (computers, printers, scanners, copiers, phones) and document management systems.

Physical Abilities

Ability to sit for extended periods while working at a computer, attending meetings, and reviewing documents.
Ability to perform repetitive hand and finger motions for typing, data entry, and document preparation.
Ability to lift, carry, and transport files, binders, and Board materials up to 25 lbs.
Ability to read printed and electronic documents with sustained attention to detail and accuracy.
Ability to communicate clearly in person and by phone to coordinate schedules, convey information, and support executive needs.
