Accounting & HR Coordinator (QuickBooks, AP/AR)

Location: Kansas City, MO

Job Type: Full-time

Pay: $20.00-$24.00 per hour (based on experience)

Schedule:

Monday-Friday
Day Shift
No Weekends

Position Summary

American Companies is seeking a detail-oriented Accounting & HR Coordinator to oversee Accounts Payable, Human Resources, and Customer Billing while assisting with Accounts Receivable. This position is ideal for someone who enjoys working with numbers, staying organized, providing excellent customer service, and being part of a fast-paced, team-oriented environment.

ResponsibilitiesAccounts Payable

Process vendor invoices
Match purchase orders and receipts
Prepare weekly check runs
Reconcile vendor statements
Maintain vendor records
Resolve vendor questions and discrepancies

Human Resources

Coordinate employee onboarding and new hire paperwork
Maintain confidential employee files
Administer employee benefits and HR documentation
Review employee timecards and verify hours for payroll
Track PTO, attendance, and employee records
Prepare payroll information for processing
Coordinate recruiting efforts, including posting positions on Indeed and scheduling interviews
Maintain HR records and compliance documentation
Serve as the primary contact for employee paperwork and routine HR questions

Customer Billing

Process daily customer billing
Create and distribute accurate customer invoices
Maintain billing records
Respond to customer billing inquiries
Assist with month-end billing
Prepare reports using QuickBooks and Microsoft Excel

Accounts Receivable

Process customer payments
Monitor aging reports
Follow up on outstanding invoices
Reconcile customer accounts
Maintain accurate payment records

Customer Service & Administrative Support

Answer incoming phone calls and greet customers professionally
Provide outstanding customer service
Assist customers with account questions
Maintain organized electronic and paper filing systems
Perform general administrative duties as assigned

Qualifications

Minimum of 2 years of accounting, bookkeeping, or AP/AR experience
QuickBooks experience required
Proficiency in Microsoft Excel and Microsoft Office
Strong attention to detail and organizational skills
Excellent customer service and communication skills
Ability to manage multiple priorities and meet deadlines
HR or payroll experience is preferred but not required
