Position Summary:

The Customer Relations Spa Coordinator is the front-line ambassador of our spa. This role blends exceptional customer service with strong organizational skills to manage front desk duties, phone communications, appointment scheduling, and day-to-day spa operations. You’ll also ensure the spa remains clean, orderly, and inviting, creating a consistently outstanding experience for both clients and therapists.

Job Description: Front Desk Operations

Greet all clients warmly and professionally to ensure a welcoming experience.
Manage check-in and check-out procedures efficiently.
Maintain a clean, organized, and aesthetically pleasing front desk and lobby area.
Answer all incoming phone calls promptly and courteously, providing accurate information and directing calls appropriately.
Process transactions, issue receipts, manage gift card sales, and handle point-of-sale systems.
Actively recommend and sell retail products to guests by assessing their needs, educating them on product benefits, and confidently closing sales to support both client outcomes and overall spa revenue goals.

Client Communications & Engagement

Answer phones and respond to emails or text messages in a timely and friendly manner.
Provide knowledgeable responses to client questions about services, therapists, pricing, availability, and spa policies.
Confirm appointments and communicate any changes clearly to clients.
Build and maintain positive client relationships that encourage loyalty and return visits.
Handle client concerns with professionalism and a solutions-focused attitude.

Scheduling & Coordination

Schedule appointments efficiently to maximize therapist availability and client satisfaction.
Use scheduling software to manage daily bookings and avoid conflicts.
Notify therapists of upcoming appointments, cancellations, or client preferences.
Coordinate special requests, add-on services, and customized schedules as needed.

Therapist & Team Support

Act as the communication hub between clients and service providers.
Help manage therapist schedules, breaks, and treatment room transitions.
Promote a supportive, team-based culture and help maintain smooth workflow throughout the day.

Cleanliness, Laundry & Spa Maintenance

Ensure the spa is kept spotless and organized throughout the day.
Ensure all treatment rooms are fully prepared at the start of each day by making tables to established standards, setting table heights consistently across rooms, and confirming bolsters are properly placed and stored beneath each massage table to maintain a uniform, professional environment.
Sweep and mop floors in the front lobby, treatment rooms, and common areas as needed.
Operate and maintain the spa’s automated cleaning equipment (ie. Roomba) by initiating scheduled cleaning cycles, monitoring performance during operation, and ensuring the unit is properly charged, emptied, and in good working condition to support a clean and welcoming environment.
Manage spa laundry daily—wash, dry, fold, and restock towels, robes, and linens.
Monitor and restock supplies in treatment rooms and at the front desk.
Perform light cleaning duties and report any maintenance issues to management.

Daily Operations

Assist with opening and closing procedures, including balancing the register and securing the facility.
Track and manage the inventory of front desk and spa essentials.
Adhere to all safety, sanitation, and guest privacy standards.
Collaborate with management to improve workflow and guest experience.

Qualifications

Previous experience in a spa, salon, or hospitality setting highly preferred.
Strong phone etiquette and communication skills, both verbal and written.
Ability to multitask while maintaining accuracy and a professional demeanor.
Experience with booking/scheduling software and POS systems (Vagaro/Google Suite).
Reliable, detail-oriented, and able to work independently or as part of a team.
High school diploma or equivalent; relevant certifications a plus.
Comfortable with physical tasks, including laundry, cleaning, and standing for extended periods.

Pay: Non-Exempt hourly $20.00 per hour (DOE)
