About the Role

This is much more than a traditional front desk position.

As our Client Care Coordinator, you'll serve as one of the central communication hubs of the practice—supporting clients, providers, and teammates while helping ensure every interaction is professional, seamless, and personalized.

You'll become cross-trained across multiple areas of the practice, giving you the opportunity to grow your knowledge and contribute far beyond answering phones or checking patients in.

What You'll Own

Client Experience

Welcome every client with professionalism, warmth, and genuine hospitality.
Serve as a primary point of contact for client questions, scheduling, and care coordination.
Build trusting relationships through proactive communication and follow-through.
Ensure every client interaction reflects the concierge experience our practice is known for.
Coordinate appointment scheduling, confirmations, reminders, and follow-up communications.

Practice Coordination

Answer incoming phone calls, texts, emails, and other client communications promptly and professionally.
Coordinate prescription requests with providers and pharmacy partners.
Support provider schedules and daily office workflow.
Assist with client billing questions and payment processing.
Help ensure information is communicated accurately between clients, providers, and internal departments.

Administrative & Operational Support

Maintain accurate documentation within the EMR.
Assist with administrative projects that improve efficiency and client experience.
Support operational initiatives and workflow improvements.
Cross-train in additional client care and concierge responsibilities as the practice continues to grow.

QualificationsRequired

High school diploma or equivalent.
Minimum two years of experience in a client-facing professional environment.
Strong organizational and multitasking skills.
Excellent written and verbal communication.
Strong computer skills with the ability to quickly learn new technology.
Must live within approximately 30 minutes of our Sarasota office.

Preferred

Experience in a medical office, concierge healthcare practice, wellness practice, executive support role, hospitality, or other high-touch client service environment.
Experience using EMR systems.
Experience coordinating multiple priorities simultaneously.
Demonstrated ability to anticipate client needs and solve problems proactively.

Compensation & Benefits

Pay: Starting at $21.00 per hour

Schedule: Full-time, Monday–Friday, 8:00 AM – 5:00 PM

No evenings. No weekends.
