Full Job Description

Job Summary
We are actively seeking an organized and detail-oriented Accounting Assistant for a Manhattan-based Plumbing firm. The ideal candidate will have a minimum of 5-7 years’ experience in accounting and be responsible for managing all aspects of our accounting processes. Construction experience and advanced proficiency in QuickBooks & MS Office (Outlook, Word, Excel) is required. This individual must be a team player and possess strong attention to detail along with excellent time management and task prioritization skills.

Duties

Manage day-to-day accounting functions, including accounts receivable and accounts payable, to ensure that the financial records are complete and accurate.
Create customer invoices, process vendor bills and online payments in a timely manner.
Communicate with customers and vendors via phone, email, or mail in a direct and timely fashion.
Follow up on A/R, collect and allocate payments, call delinquent accounts for payments on a regular basis.
Send payment reminders and account statements to customers.
Set up new contacts, review and process contracts, change orders, waivers, and insurance certificates.
Track job costs and revenue for individual jobs to determine profitability.
Prepare monthly and quarterly Sales and Use Tax Returns.
Assist with weekly payroll entry and prepare certified payroll reports.
Interact with internal and external auditors; providing all necessary documentation for periodic accounting, union, and insurance audits.
Handle NYC Department of Buildings, NYC Department of Environmental Protection and NYC Fire Department requirements (filing forms, obtaining/setting inspections, and finalizing sign offs of permits).
Perform other related duties as required and assigned, assist office personnel with workload as necessary.

Skills

Expertise in QuickBooks, MS Office (Outlook, Excel, Word)
Strong attention to detail and level of accuracy with the ability to multitask efficiently.
Excellent organizational skills, ensuring timely completion of tasks within deadlines.
Ability to set priorities and maintain a functional work environment.
Ability to work independently, as well as part of a team, with effective verbal and written communication skills.
Excellent typing, spelling, grammar and math skills required.
Capable of spotting and resolving discrepancies.
