Full Job Description

The Community Association Assistant & Operations Support Coordinator is a hybrid administrative and operational support role that provides structured, process-driven assistance across HOA management, community engagement, and office operations.

This role supports both community managers and HOA office and administration functions, ensuring consistency, organization, and execution across administrative workflows, board preparation, financial coordination, and resident communication.

This position is critical to ensure execution, follow-through, and high-quality service delivery within defined systems and processes.

The Community Association Assistant and Operations Support Coordinator works in a professional, fast-paced office environment supporting both central operations and HOA management functions.

This role requires managing multiple structured tasks, deadlines, and administrative workflows, while interacting with residents, vendors, and internal teams.

The environment includes moderate-to-high phone volume, administrative deadlines, seasonal workload spikes (mailings, closings, board prep), and frequent cross-departmental coordination.

Success requires strong organization, attention to detail, the ability to follow structured processes, and professionalism under pressure.

KEY RESPONSIBILITIES

Office Administration & Operational Support (Core Anchor – 50%)

Support Community Managers with administrative and coordination tasks
Answer incoming calls and route inquiries professionally
Manage incoming/outgoing mail, including HOA communications, notices, and document distribution
Maintain organized digital and physical records, ensuring accuracy and accessibility
Support office supply management and general office organization
Assist with onboarding logistics and internal administrative coordination
Prepare and assemble board meeting packets, including agendas, financials, and supporting documentation
Assist with scheduling meetings and documenting meeting minutes
Track deadlines for board meetings, mailings, and required communications
Assist with resale documents, welcome packets, and community correspondence
When on site, greet residents, board members, and vendors
Occasional travel to communities to assist Community Managers

Mailings, Closings & High-Volume Administrative Tasks

Support large-scale HOA mailings (annual, seasonal, compliance-related)
Assist with closing documentation preparation
Ensure accuracy and completion of outgoing communication
Track and complete assigned administrative deliverables

Community Relations & Customer Service (20%)

Serve as a professional point of contact for homeowners, residents, and vendors
Assist with coordination of community events, annual meetings, and resident engagement initiatives.
Respond to inquiries via phone, email, and in-person interactions
Address and resolve routine concerns in a timely and professional manner
Promote a positive resident experience aligned with Towne’s values

Financial Administration Support (10%)

Assist with tracking dues, invoices, and payments
Support processing of invoices and vendor payments
Help prepare financial summaries and reports for board meetings
Ensure accuracy and organization of financial documentation

Maintenance & Vendor Coordination Support (10%)

Assist with intake and routing of maintenance requests
Coordinate communication between residents, managers, and vendors
Track work orders and ensure timely follow-up
Support vendor scheduling and documentation
Monitor and report on common area conditions as needed

Compliance & Community Standards Support (10%)

Assist and maintain organized HOA records and compliance documentation
Assist in monitoring compliance with HOA rules and regulations
Support documentation and communication related to violations
Help ensure consistency in enforcement processes

Work Experience

2–4 years of experience in one or more of the following:

Office administration in a multi-department environment
HOA, property management, or real estate administrative support
High-volume administrative coordination
Customer service in a professional office setting

Must have demonstrated experience in:

Managing and organizing documentation and records
Following structured processes and workflows
Handling multiple tasks with deadlines (with direction)
Communicating professionally with clients, vendors, and internal teams

Ability to learn:

Working within systems (CRM, property management, or accounting software)
Using accounting or property management software systems
Tools & Systems: Proficiency required or to be developed in: Buildium, Enumerate, Dialpad, Microsoft Outlook, Excel

Primarily a sedentary office-based role requiring extended periods of sitting, computer and phone use, occasional standing, light lifting of files or office supplies (up to approximately 20 lbs.), and movement between workstations and filing areas.
