Full Job Description

Job Overview

We are seeking a dynamic and detail-oriented Automotive Administrative Assistant to join our fast-paced automotive dealership team. In this vital role, you will be the first point of contact for customers and visitors, managing administrative tasks with efficiency and professionalism. Your energetic approach will ensure smooth daily operations, support our sales and service teams, and enhance the overall customer experience. Duties

Handle data entry, filing, and document proofreading to ensure all records are accurate and up-to-date
Utilize office management software including Microsoft Office, Google Workspace, and QuickBooks for bookkeeping, invoicing, and record keeping
Assist with basic bookkeeping tasks such as tracking expenses and reconciling accounts using QuickBooks or similar accounting tools
Reconcile open account and Payable
Control incoming inventory and stocking of vehicles
Handle dealer outgoing and incoming dealer trade stocking and inventory

Requirements

Proven administrative experience within an automotive or related industry preferred
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Experience with multi-line phone systems, clerical tasks, and customer support is essential
Demonstrated professionalism in phone etiquette, proofreading, and personal assistant responsibilities
Familiarity with bookkeeping software such as QuickBooks is a plus
Exceptional time management skills to prioritize tasks efficiently throughout the day
