Job Summary
We are seeking a dynamic and dedicated Customer Service Representative to join our team! In this vital role, you will be the friendly face and helpful voice that ensures our customers receive exceptional support and service. Your enthusiasm, organizational skills, and ability to handle multiple tasks with professionalism will help foster positive relationships and enhance overall customer satisfaction. Responsibilities

Serve as the primary point of contact for customers via multi-line phone systems, email, and in-person interactions, providing prompt and courteous assistance.
Manage front desk operations, including greeting visitors, answering inquiries, and directing calls efficiently using phone etiquette best practices.
Utilize computer skills and office management software such as Microsoft Office, Google Workspace, and Proclaimto perform data entry, filing, and record keeping accurately.
Support administrative functions by scheduling appointments, managing calendars, and coordinating meetings with strong organizational skills.
Assist with clerical tasks such as proofreading documents, maintaining files, and supporting office management activities to ensure smooth daily operations.
Provide excellent customer support by addressing questions, resolving issues promptly, and ensuring a positive experience for all clients.
Perform basic bookkeeping tasks including data entry and invoice processing to support office financial activities.

Requirements

Proven experience in office management or administrative roles with strong clerical skills.
Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Gmail, Calendar), and familiarity with Proclaim, and Mod Med is preferred.
Prior customer service experience demonstrating effective phone etiquette and professional communication skills.
Bilingual abilities are highly desirable to serve diverse customer needs effectively.
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
Experience working at a front desk or medical/dental receptionist role is a plus.
Knowledge of multi-line phone systems, data entry, filing procedures, and proofing documents is essential.
Personal assistant or medical receptionist experience will be considered advantageous.
Ability to manage time effectively while handling multiple responsibilities with accuracy and attention to detail.
