Full Job Description

Accounts Payable Coordinator/Manager

A busy litigation firm seeks a skilled Accounts Payable Coordinator/Manager to own the full accounts payable cycle — from three-way match through check disbursement — with accuracy, efficiency, and sound judgment. Position responsible for overseeing remote data entry staff, accuracy and integrity of their work. The ideal candidate brings full-cycle A/P experience in a law firm environment and is adept at reviewing insurance carrier guidelines to determine proper routing of payables between carrier and firm.

Responsibilities

Process vendor bills and invoices end to end: secure verifications and approvals, then process for payment.
Verify invoices against insurance carrier guidelines and obtain approvals from attorneys, paralegals, and staff.
Code invoices accurately and enter them into the billing system.
Manage check runs as directed and distribute payments.
Generate reports and provide payment information to managers and vendors on request.
Maintain vendor records and relationships.
Support related accounting and billing projects as assigned.

Qualifications

Minimum 6 years of accounts payable experience, ideally in a law firm.
Minimum 3 years in a supervisory/management capacity in an accounting or AP setting.
Proven ability to calculate, post, and manage accounting figures and financial records.
Strong data entry skills and comfort working with numbers.
Hands-on Excel proficiency, including reporting and data manipulation; experience with proprietary billing software a plus.
Proficiency in MS Office and written/spoken English.
Familiarity with AI tools for workflow optimization a plus.
High degree of accuracy, attention to detail, and a customer-service orientation.
