Full Job Description

Overview
We are seeking a detail-oriented and experienced Administrative Assistant/Bookkeeper to join our team. The ideal candidate will possess a strong understanding of accounting principles and practices, with the ability to manage all aspects of bookkeeping for our organization. This role requires proficiency in Quickbooks - Construction background preferred.

Candidates must be willing to submit information required for a criminal background check and eventual security clearance, which this position will require.

Responsibilities

Manage full cycle accounting, including accounts payable and receivable, bank reconciliations, financial reporting and job costing.
Oversee accounts receivable and accounts payable processes to ensure timely billing and payment.
Process weekly payroll, payroll taxes and quarterly payroll reports.
Maintain organized financial records and documentation for audits and regulatory compliance.
Collaborate with external accountants during tax preparation and audits.
Manager travel arrangements and hotel accommodations.
Process visa/passport applications.
Assist Project Manager with administrative, billing and project related tasks.
Maintain filing, organizing documents and maintain office supplies.
General office duties as needed.

Requirements

Proven experience as a Administrative Assistant/Bookkeeper
Proficiency in Quickbooks
Excellent knowledge of financial concepts, including general ledger reconciliation, accounts receivable, and accounts payable processes.
Strong attention to detail with exceptional organizational skills.
Ability to work independently while managing multiple tasks effectively.
Excellent communication skills, both written and verbal.
Proficient in Microsoft Office applications (word, excel, etc)
Construction background preferred

Salary: Commensurate with experience
