Service Appointment Coordinator / Service Receptionist

Prestige Auto Mart – Westport, MA

Prestige Auto Group is looking for a friendly, dependable and organized Service Appointment Coordinator / Service Receptionist to join our team in Westport.

This is a customer-facing position that combines service appointment scheduling, customer follow-up and general Service Department reception. You will be one of the primary points of contact for our service customers, helping them schedule maintenance and repairs, answering routine questions and making sure calls and messages get to the appropriate member of our Service Department.

The position also includes proactive outreach to existing customers who may be due for maintenance, have missed an appointment, have an open recall or previously declined recommended service.

Responsibilities

Answer inbound Service Department calls from new and existing customers
Schedule service appointments and gather accurate customer and vehicle information
Assist customers with routine service-related questions
Make outbound calls, texts and emails to customers who are due or overdue for service
Follow up with customers who missed appointments or postponed recommended service
Contact customers regarding maintenance reminders, recalls and first service visits
Accurately document customer concerns, appointment information and callback requests
Maintain customer records and activity in our CRM
Route calls and messages to Service Advisors, Service Managers, Parts personnel or other dealership staff when needed
Respond to customer inquiries by phone, email and online channels
Assist with service promotions and customer-retention initiatives
Work closely with Service Advisors and management to help maintain an efficient appointment schedule and a positive customer experience

What We're Looking For

We are looking for someone who is comfortable spending a significant portion of the day communicating with customers by phone, text and email.

The right candidate should be:

Friendly, professional and comfortable speaking with customers
Organized and able to manage multiple conversations and follow-up tasks
Comfortable making both inbound and outbound customer calls
Detail-oriented when entering appointments, messages and customer information
Able to communicate clearly with customers and dealership staff
Comfortable working with computers and learning CRM and scheduling systems
Reliable, motivated and customer-focused

Previous automotive dealership or service experience is helpful, but the ability to communicate well, stay organized and provide excellent customer service is equally important.

About the Position

This position works closely with both our Service Department management team and Internet Department and plays an important role in customer retention, appointment generation and the overall service experience.
