Full Job Description

Summary: The Receptionist/HR Administrative Assistant serves as first point of contact for visitors, vendors, delivery staff, clients, and clients’ families. Provides administrative support to the HR department while maintaining front office duties.

Essential Functions

Serve as first point of contact for visitors, vendors, delivery staff, clients, and clients’ families.

Answer and direct incoming calls to appropriate program and/or staff member.

Receive, sort, and forward incoming mail. Coordinate the pick-up and delivery of express mail services (FedEx, UPS, etc.) and replenish postage meter. Process outgoing mail.

Track and replenish inventory of office supplies and maintain accurate records.

Maintain office security by following safety procedures and controlling access via the reception desk.

Update calendars, schedule meetings, reserve meeting rooms.

Process Purchase Orders (PO) for department.

Provide administrative support to CEO as needed.

Order flowers and send cards as needed.

Set up new hire personnel file, electronic and hard file.
Print/order business cards as requested.
Prepare on-boarding documents for new employees.

Set up and distribute door key cards or assist with payroll app to set up as needed.

Collect employee Motor Vehicle Records (MVR) and submittal to state annually.

Create and email out monthly staff agendas.

Maintain, update, and send out monthly reminders of expiring driver’s license and auto insurance information.

Become familiar with knowledge of trends, best practices, regulatory changes, and new technologies in Human Resources.
Perform other duties as assigned.

Work Environment

While performing the duties of this job, the employee works mostly in an office environment that is quiet to moderately loud, depending on the work area. Some local, county, or state travel may be required, including overnight stays. Employees are required to sit, use hands, stand, crouch, walk, talk, and listen while performing duties. General office equipment including personal computers, scanners, copiers, faxes, desk- and smartphones, and software programs.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; climb stairs; balance; crouch; kneel; crawl; talk or hear; and taste or smell. The employee must occasionally lift or move up to twenty pounds. Requires normal range of hearing/vision.

Required Education and Experience

High school diploma or GED equivalent.
One year of Human Resources and office experience, preferably in a similar industry.
