Full Job Description

Overview

Pro Care Landscape Services is a locally owned, mid-sized landscape service provider serving the Treasure Valley since 1987. The Service Operations Specialist is part of our administrative team, which is the hub of all operations.

What You'll Do

Work Verification & Ticket Auditing (2-4 Hours Daily)

Using data captured by field crews through iPhones, GPS tracking, and our scheduling software, you will verify that work was completed as scheduled and that all labor, materials, notes, and job details have been accurately recorded before being approved for payroll, billing, and reporting.

The process requires reviewing dozens of tickets and quickly identifying discrepancies, missing information, inconsistencies, or unusual entries. When issues are found, you will investigate by analyzing GPS data, reviewing historical records, contacting field crews, or coordinating with managers to determine the correct information.

Responsibilities include:

Verify labor hours, arrival/departure times, and crew activity against GPS records.
Confirm work was completed as scheduled or identify work that must be rescheduled.
Review ticket notes for accuracy, clarity, and professionalism.
Verify materials used have been properly recorded.
Identify missing, incomplete, or contradictory information.
Investigate and resolve discrepancies before tickets move forward.
Ensure completed tickets are accurate and complete for billing, payroll, job costing, management reporting, and client communication.

Success in this role requires consistently catching errors before they become billing mistakes, payroll inaccuracies, client disputes, or operational problems.

Scheduling, Route Review & Field Preparation (2-3 Hours Daily)

You will review production schedules, route projections, and supporting documentation to ensure crews are fully booked, efficiently routed, properly equipped, and prepared to perform their work safely and successfully.

Responsibilities include:

Generate and review daily work projections for all crews.
Verify crews are assigned an appropriate workload based on capacity, skill set, equipment, and available time.
Identify routes that are overloaded, underloaded, or otherwise unbalanced.
Review route sequencing and geographic routing to minimize unnecessary drive time and maximize productivity.
Identify scheduling conflicts, overlapping services, customer restrictions, weather concerns, or special instructions that may impact service delivery.
Verify work orders, service notes, and job instructions are accurate, complete, and helpful to field personnel.
Ensure services requiring special handling, compliance documentation, or additional materials are properly prepared.
Generate and distribute route projections, work orders, purchase orders, material tracking forms, and regulatory paperwork as required.
Provide Division Leads and field crews with the information and documentation needed to execute work efficiently and in compliance with company standards.

Success in this role means field crews leave each morning with clear instructions, realistic workloads, proper documentation, and everything necessary to complete their work safely, efficiently, and correctly.

Administrative Coordination & Business Support (1-3 Hours Daily)

This role serves as a central communication and administrative support function for the company. While operational accuracy and field readiness are primary responsibilities, this position also ensures information, documentation, and financial records flow efficiently between clients, field crews, managers, vendors, and accounting.

The work requires balancing routine administrative tasks with frequent interruptions, changing priorities, and requests from multiple departments throughout the day.

Responsibilities include:

Answer incoming calls and respond to client, vendor, and employee emails.
Notify clients of upcoming services, schedule changes, and service-related updates.
Create and distribute daily route memos summarizing important notes, observations, recommendations, and issues identified by field crews.
Generate purchase orders and assist with material procurement processes.
Enter vendor invoices, receipts, and other financial records into company systems.
Assist with payroll preparation by verifying employee hours and supporting payroll documentation.
Support month-end billing processes and account reconciliation activities.
Create reports, spreadsheets, and administrative documents as needed.
Maintain accurate records and ensure information is properly communicated to the appropriate individuals.
Provide administrative support to the Office Manager and leadership team.

Success in this role means managers have the information they need to make decisions, clients receive timely communication, field crews stay informed, and administrative processes are completed accurately and on schedule.
