Job Summary
We are seeking a dynamic and highly organized Bilingual Legal Assistant/Office Manager to join our legal team. This role offers an exciting opportunity to support a diverse range of legal practices while managing the daily operations of our busy law office. The ideal candidate will be proactive, detail-oriented, and possess a strong foundation in legal administrative functions, project management, and client support. You will play a vital role in ensuring the smooth functioning of our office, assisting attorneys with legal research, document management, and case preparation across multiple practice areas including estate planning, and family law. This position is paid and perfect for someone eager to grow their legal career in a fast-paced environment.

This is an in-person, front-of-house position that plays a key role in creating a welcoming experience for our clients and supporting the day-to-day operations of the office. We're looking for someone who is excited to grow with our organization and become a long-term member of our team. Bilingual (English/Spanish) applicants are strongly encouraged to apply.

Responsibilities

Provide comprehensive administrative support to attorneys and legal staff, including scheduling, correspondence, and file management
Manage legal case files using document management systems such as Clio; ensure all documents are accurately filed, organized, and accessible
Perform document review and data entry tasks efficiently while maintaining high accuracy standards
Coordinate client interviews and gather pertinent information through effective interviewing techniques
Support project management initiatives by tracking deadlines, preparing reports, and ensuring compliance with legal procedures
Assist with court filings and document submissions in accordance with jurisdictional requirements
Maintain confidentiality of sensitive information while managing multiple priorities seamlessly
Answer and direct incoming telephone calls in a professional and courteous manner, providing exceptional customer service and ensuring messages are routed promptly to the appropriate team members.
Perform general office management and administrative tasks, including scanning and processing incoming mail, court filings, and other documents, while maintaining accurate electronic records and supporting the day-to-day operations of the office.

Experience

Proven legal administrative experience within a law office setting
Excellent organizational skills with the ability to manage multiple tasks simultaneously under tight deadlines
Exceptional writing skills for drafting legal documents and correspondence; keen proofreading abilities for accuracy in all materials
Demonstrated project management skills to coordinate tasks effectively across teams
Strong interpersonal skills including professional phone etiquette and client interaction experience
Ability to adapt quickly to new technologies such as document management systems and data entry tools
