Full Job Description

Position Summary

The Ophthalmic Surgery Coordinator serves as a primary point of contact for patients undergoing ophthalmic surgery (including cataract, refractive, and glaucoma procedures), coordinating all aspects of the surgical journey from scheduling through post-operative follow-up. This role works closely with surgeons, clinical staff, ambulatory surgery centers (ASCs) or hospitals, and insurance carriers to ensure accurate, timely, and compliant surgical scheduling.

Key Responsibilities

Schedule ophthalmic surgical procedures with surgery centers/hospitals, coordinating dates and times with surgeons, patients, and facility staff.
Verify insurance coverage and obtain prior authorizations and referrals for surgical procedures, including IOL and biometry coding as applicable.
Explain surgical financial responsibility, co-pays, and out-of-pocket costs to patients; collect deposits or payments as needed.
Educate patients on pre-operative and post-operative instructions, required testing (e.g., biometry, A-scans), and clearance requirements.
Order and track pre-surgical clearances from primary care or specialist physicians.
Maintain accurate surgical logs, schedules, and physician preference cards; communicate changes promptly to all parties.
Coordinate equipment, supply, and IOL (intraocular lens) ordering for scheduled cases.
Serve as liaison between the surgeon, surgery center/hospital staff, billing department, and patients throughout the surgical process.
Ensure compliance with HIPAA, informed consent procedures, and surgery center/hospital credentialing requirements.
Follow up with patients regarding post-operative appointments and address scheduling-related questions or concerns.
Assist with resolving scheduling conflicts, cancellations, and add-on cases in a timely manner.

Qualifications

Minimum 2 years of experience in ophthalmic surgery coordination, surgical scheduling, or ophthalmic/optometric practice administration.
Working knowledge of ophthalmic surgical procedures, terminology, and insurance authorization processes.
Experience with EHR/practice management systems (e.g., Mod Med, Eyefinity,
Epic, HealthNautica or similar) preferred.
Strong organizational skills with the ability to manage multiple surgical schedules and deadlines simultaneously.
Excellent verbal and written communication skills, with a professional, patient-centered approach.
Knowledge of medical insurance verification, prior authorization, and basic CPT/ICD-10 coding as it relates to ophthalmic surgery.
Ability to work collaboratively with physicians, clinical staff, and external surgical facilities.
High school diploma or equivalent required; additional training in medical office administration, ophthalmic technology, or healthcare coordination preferred.

Preferred Skills

Familiarity with ambulatory surgery center (ASC) scheduling and credentialing processes.
Bilingual candidates are a plus.
Modernizing Medicine (ModMed) experience a plus

Pay: $20.00 - $23.00 per hour
