Full Job Description

Job Summary

Snead Eye Group is seeking a highly organized, financially minded, and people-oriented Finance & Administrative assistant to support the day-to-day Finance and administration functions across our ophthalmology clinics and ambulatory surgery centers throughout Southwest Florida.

This position will serve as a key support partner to the Finance Director while independently handling many of the organization’s routine administrative and staffing responsibilities. The ideal candidate has practical, real-world experience working in a small or growing business where they were required to wear multiple hats, manage competing priorities, solve problems independently, and support employees and leadership across several areas of the business.

This individual will be will work directly for the Finance Director. It is an opportunity for an experienced business and finance minded individual to operate within multiple areas of the company administration using their financial aptitude, attention to detail, organizational skills, and professional judgment.

The successful candidate must be comfortable working with numbers, reconciling financial accounts and payroll information, maintaining accurate records, understanding policies, and recognizing the human element involved in recruiting, onboarding, and supporting employees.

Essential Responsibilities

Finance and Administrative Support

Serve as a primary administrative and operational support partner to the Finance Director.
Record and reconcile financial data into QuickBooks Desktop for multiple companies.
Auditing financial ledgers and statements under direction of supervisor.
Assist with payroll preparation, payroll audits, and payroll reconciliation.
Review employee hours, compensation changes, deductions, reimbursements, benefits deductions, and other payroll-related information for accuracy.
Process invoices and support accounts payable activities.
Assist with expense tracking, budgeting projects, financial reports, and operational reporting.
Reconcile payroll, benefits, and Labor reports to identify discrepancies or missing information.
Generate and maintain reports using Microsoft Excel, Paychex Flex, and other business systems.
Maintain organized financial, payroll, personnel, and administrative records.
Assist with audits and ensure supporting documentation is complete and accurate.
Support special projects and additional business operations as assigned.

Administration

Coordinate new hire onboarding, orientation, and employee off boarding.
Enter and maintain new hires, employee changes, compensation updates, and terminations within Paychex Flex.
Assist employees with benefits enrollment, qualifying life events, open enrollment, and required documentation.
Maintain confidential personnel files and accurate Human Resources records.
Assist employees with routine questions regarding benefits, policies, payroll, and company procedures.
Strong Understanding of FSLA.
Support the administration of FMLA, ADA accommodations, workers’ compensation, COBRA, unemployment claims, and other leave programs under the guidance of leadership.
Maintain job descriptions, company policies, procedures, forms, and the Employee Handbook.
Assist with performance evaluations, employee recognition, engagement initiatives, and retention efforts.
Prepare recruiting, turnover, retention, compensation, payroll, and workforce reports.
Help ensure compliance with federal and state employment laws, company policies, and applicable healthcare requirements.

Recruiting and Employee Support

Assist with job postings, applicant review, interview scheduling, candidate communication, reference checks, and onboarding preparation.
Conduct initial candidate screenings and help identify applicants whose skills, experience, professionalism, and values align with the organization.
Understand that successful recruiting requires more than matching a résumé to a job description.
Use sound judgment and interpersonal awareness when evaluating communication skills, reliability, motivation, professionalism, and organizational fit.
Provide candidates and employees with a professional, responsive, and welcoming experience.
Escalate sensitive employee relations matters to senior leadership while assisting with documentation and follow-up.
Develop greater responsibility for recruiting, employee relations, and increase.

Required Qualifications

Bachelor’s degree in Finance, Accounting, Business Administration, or a related field preferred.
At least two years of practical experience in finance, accounting, office administration, healthcare administration, or small-business operations.
Experience working in an environment where the employee was responsible for multiple areas of the business or regularly handled responsibilities outside a narrowly defined position.
Strong mathematical, analytical, reconciliation, and problem-solving skills.
Exceptional attention to detail and commitment to accuracy.
Ability to identify discrepancies and follow information through to resolution.
Strong organizational and time-management skills.
Proficiency in Microsoft Excel, Word, Outlook, and other Microsoft Office applications.
Strong written, verbal, and interpersonal communication skills.
Ability to work independently while knowing when to seek guidance.
Ability to manage confidential financial and employee information with professionalism and discretion.
Ability to prioritize competing responsibilities in a fast-paced healthcare environment.
Genuine interest in developing additional expertise in labor laws and business operations.

Preferred Qualifications

Experience supporting a Finance Director, Controller, business owner, or executive leadership team.
Previous small-business, medical-practice, or healthcare experience.
Experience with payroll reconciliation, employee deductions, accounts payable, or financial reporting.
Familiarity with employee benefits administration.
, onboarding, or candidate screening.
Basic knowledge of FMLA, ADA, FLSA, EEOC, COBRA, HIPAA, workers’ compensation, and employment policies, or a willingness to learn.
Bilingual English and Spanish preferred but not necessary.
