Full Job Description

Title: Executive Assistant to the Chief Program Officer (CPO)

Part/Full Time: Full Time / Non-Exempt

Reports to: Chief Program Officer (CPO)

Starting Pay Scale: $26.40 - $30.49 per hour DOE

Purpose/Vision/Mission

Peer Washington’s purpose is to provide peer emotional support and development services to:

Washington state residents impacted by temporary or chronic addiction, mental health and/or HIV/AIDS or other sexually transmitted diseases.
Target disparately impacted communities through site expansion operated as a dba of Peer Washington named for location and guided by a charter identifying the target community served.
Maintain safe space for members identified as lesbian, gay, bisexual, transgender, gender non-conforming or other sexual minorities at all our locations regardless of the target community.
d. Services shall be open to any person impacted by addiction, mental health, or HIV/AIDS; however, outreach for each site will be directed toward the community identified in the site charter.
Our work is done in a spirit of safety, trust, inclusiveness, and celebration of individual differences.

Peer Washington’s mission is to cultivate powerful, healthy lives by providing peer emotional support and development services to those impacted by addiction, mental health and/or HIV/AIDS.

General Summary

The Executive Assistant’s role consists of completing administrative tasks, organizing time and resources, filtering correspondence, and exercising decision-making authority as appropriate on process decisions in accordance with the CPO’s vision. This individual will ensure the CPO and other key members of Adult Direct Services Division leadership are better positioned to be prepared and available for organizational development, relationship building, and oversight of leadership staff in fulfillment of Peer Washington’s purpose, vision, and mission.

Primary Responsibilities

·Exercise discretion and independent judgment on matters of significance as assigned by the CPO.
Organize and set up meetings and events including reminder notifications, note taking, and follow up communication where appropriate.
Manage the CPO’s calendar prioritizing sensitive/urgent matters.
Filter and organize email communication for the CPO and other delegated email accounts.
Coordinate business travel arrangements.
Collect, compile, record, or otherwise gather data and prepare standard and custom reports with information necessary for decision-making.
Create, edit, and/or format internal and external correspondence and communication materials on behalf of the CPO.
Create, edit, coordinate, and compile operations and standard operating procedure manuals.
Create, edit, and compile grant reports as assigned by the CPO.
Coordinate grant and contract development and assist with application processes as needed.
Proofread narrative and numerical materials. Research topics and provide a summary and recommendation where appropriate.
Enter, extract, view, and summarize data in documents, spreadsheets, and database systems (i.e., Empower DB and Microsoft Office).
Organize electronic and paper files.
Manage access to confidential and sensitive information with absolute discretion.
Support CPO in meeting their commitments on external boards, committees, and other groups.
Manage accounting and financial functions such as budget coordination, expense reports, compiling financial data, drafting grant and contract budgets, and monitoring contract spending.
Field and filter telephone communication for Peer Washington administrative teams, providing assistance and direction as appropriate.
Provide operational and administrative support to Peer Washington teams as assigned by the CPO.
Manage and coordinate special events and training programs as assigned by CPO.
Manage and coordinate special projects as assigned by CPO.
All other duties as assigned by CPO.

Required Qualifications

Minimum of 3 years of proven experience as an executive/administrative assistant or other relevant administrative support work.
Excellent organizational, documentation, and written/verbal communication skills.
Proficient with Microsoft Office Products, Gmail, and Zoom.
Demonstrated professional writing, proofreading, and grammatical skills.
Detail oriented.
Exhibit leadership skills.
Ability to work independently, to manage time effectively, and organize and prioritize daily workload.
Ability to meet deadlines in a fast-paced quickly changing environment.
Resourceful in finding information, answers, and researching technology.
Strong interpersonal skills both positive and professional.
Ability to pivot/adjust to meet the needs of shifting priorities.
Maintain confidentiality and discretion with sensitive information.
The ability to work a regular schedule with occasional nights and weekends.
Comfortable with flexible work locations, with the ability to travel within the Northwest region as needed. Limited overnight travel to Eastern Washington or other locations for conferences and trainings.
Ability to monitor and report time accurately.

Additional Responsibilities

This is not intended to be an exhaustive list of responsibilities. In addition to the responsibilities listed above, the Executive Assistant will be responsible for any additional tasks that are assigned by the CPO.

Compensation

Starting wage $26.40 - $30.49 per hour DOE
Paid Vacation Time – three weeks per calendar year, accrued at 4.615hrs per biweekly pay period, 120-hour maximum annual carryover.
Paid Sick Time – 80 Hours per calendar year, accrued at 3.077hrs per biweekly pay period, 480hour maximum annual carryover.
One Personal Day if hired prior to June 8th, three Personal Days per quarter thereafter. Personal days do not carry over from year to year, have no monetary value, and are forfeited upon employment separation.
Medical, Dental, Vision, Life, AD&D, and Long-Term Disability; employee premiums covered by employer at 100% for employees.
Simple IRA through Charles Schwab with an employer match of up to 3%
Employee Assistance Program through Mutual of Omaha
Peer Washington covers the employee portion of Washington Unemployment and Paid Family Medical Leave at 100%.
