Full Job Description

Summary: The Back Office Coordinator is responsible for providing general administrative support to the back-office teams.

Essential duties and responsibilities include the following.

Answer incoming phone calls to back office.

Screen and transfer calls to the appropriate staff/department.

Manage phone calls to back office from patients, hospitals, pharmacies, and other outside facilities.

Work within multiple health systems to acquire health records.

Prepares treatment rooms for examination of patients.

Maintains supplies, including stocking and ordering new supplies and disposing of expired or damaged supplies.

Maintains and cleans exam rooms.

Inventories and orders medical supplies and materials.

Keys data into computer to maintain office and patient records.

Performs clerical duties to maintain effective operations including paperwork, patient follow up, and phone calls.

Referral coordination for hospice, home health, and palliative care orders.

Coordinate and schedule blood transfusions.

Assist with acquiring patient transportation to clinic.

Travels to and work from various clinic locations as needed.

Prioritizes and organizes tasks. Handles distractions well. Great focus and attention to detail.

Promotes a proactive and professional relationship with patients and peers.

Strong communication skills with consistent incorporation of judgement and discretion.

Maintains strictest confidentiality; adhere to all HIPAA guidelines/ regulations.

Attends meetings and /or training as required

Education and experience:

High school diploma or equivalent

1 year of previous knowledge in a medical office environment preferred

Certificates and Licenses:

None required

Language Ability:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.

Ability to write routine reports and correspondence.

Ability to speak effectively before groups of customers or employees of the organization.

Computer Skills:

Technologically literate including familiarity with Microsoft Word and Excel.

This position is in a standard medical clinic environment with desktop business equipment and frequent telephone calls. There may be frequent interruptions and high utilization on some days and low utilization on others. The noise level is moderate.
