Full Job Description

Family-owned contractor seeking a highly organized and proactive full-time Dispatch/Administrative Assistant to join our team. In this role, you will be relied upon to manage daily service calls and communicate with drivers, while simultaneously performing office tasks such as AR & AP data entry and answering phones. The ideal candidate possesses excellent phone and communication skills while simultaneously performing office tasks.

Key Responsibilities

Communication: Answer phones, greet visitors and manage inquiries professionally.
Data entry and management: Assisting AR & AP with updating files, maintaining databases and ensuring accurate recordkeeping.
Scheduling and Dispatching: Assigning incoming service calls, maintenance requests and emergency repairs to technicians based on urgency, location and skill set.

Qualifications & Skills

Experience: 2–3+ years of administrative experience, preferably within the construction industry.
Software Proficiency: Strong knowledge of Microsoft Office Suite (Word, Excel, Outlook). Experience with construction software (e.g., Procore, Deltek/ComputerEase, AIA Contract Documents) is a major plus.
Detail-Oriented: Exceptional organizational skills and high attention to accuracy in record-keeping.
Multitasking: Ability to prioritize tasks, meet deadlines, and work under pressure in a fast-paced environment.
Communication: Excellent verbal and written communication skills.
Education: High School Diploma or equivalent require
