Full Job Description

Position Purpose

The Billing Office Representative is responsible for supporting the financial health of the organization through insurance claims follow-up, patient account resolution, payment collection, and patient financial counseling. This position serves as a key resource for both patients and payers by ensuring claims are processed accurately and timely, outstanding balances are addressed appropriately, and patients receive exceptional service regarding billing, insurance, and financial matters.

Essential Job Functions

Answer patient inquiries regarding billing statements, insurance processing, account balances, payment options, and financial responsibilities.
Educate patients regarding deductibles, co-insurance, co-payments, out-of-pocket costs, payment policies, and available payment arrangements.
Collect patient payments, establish payment plans in accordance with organizational guidelines, process refunds, and ensure accurate posting and reconciliation of patient transactions.
Review patient accounts and statements for accuracy, investigate discrepancies, and coordinate corrections when necessary.
Contact patients regarding outstanding balances and assist with account resolution while maintaining a professional and compassionate approach.
Review and manage unpaid insurance claims work queues, researching and resolving claims that remain unpaid or underpaid according to established timelines.
Monitor accounts receivable aging reports and proactively follow up on outstanding insurance balances to ensure timely reimbursement and minimize aged receivables.
Utilize payer websites, clearinghouse systems, and direct communication with insurance representatives to investigate claim status, resolve denials, correct claim errors, and secure payment.
Prepare and submit claim appeals, corrected claims, supporting documentation, and correspondence necessary to overturn denials and obtain appropriate reimbursement.
Maintain accurate documentation and tracking of claim activity, appeals, rebills, and payer communications within the electronic medical record and billing systems.
Review payer reports and clearinghouse rejections, identify billing issues, and make corrections to facilitate successful claim submission and payment.
Review diagnosis and procedure coding for claim accuracy and collaborate with providers and internal teams to resolve coding or documentation concerns affecting reimbursement.
Demonstrate effective time management by prioritizing work queues, patient requests, and reimbursement activities to meet departmental performance expectations.
Understand and adhere to all HIPAA regulations to maintain our patients’ privacy.
Requires regular, predictable attendance.
Flexibility is essential for success with CFG and on occasion, our employees may be asked to complete projects and tasks that could be outside of their normal scope of duties.

Required Competencies

Preferred Competencies and Experience

· 2 years of experience with payers and claims follow-up

· Ability to speak, read, and write Spanish—other languages are appreciated too!

· 2+ years of experience in a Medical Billing Office or Revenue Cycle Office Setting

· Experience with portals and software such as Availity and other individual payer sites

Performance Measures

· Maintain aging accounts over 120 days between 10-20%.

Working Conditions and Physical Requirements

Ability to walk, stand, stoop, bend, or sit for extended periods of time.
Physical demands: percentage of time spent in each activity (estimate)
Walking 10% - assisting patients, delivering information personally to other departments, collaborating with other department employees.
Sitting 90% - answering the telephone, scheduling appointments and procedures in the call center, working at the front desk, working on the computer.
Number of pounds that must be lifted, carried, pushed or pulled: up to 20lbs.
Climbing on step ladders to reach top shelves, stooping, kneeling, crouching, reaching, fingering (like keyboarding, controls on a scanner, fax, etc.)
Ability to speak clearly to be understood by our patients and employees.
Ability to hear within normal range.
Acuity near and far. Ability to see within normal parameters, and to distinguish colors.
Ability to work for extensive periods at computer keyboarding.
Works in a well-lit heated/air-conditioned environment. Temperatures between 68 and 74 degrees.
Work may involve exposure to communicable diseases, medicinal preparations and other conditions common to a clinic environment.
