About Nick Le DDS PLLC

Nick Le DDS PLLC is a growing, family-oriented dental practice in Fort Worth, led by Dr. Nick Le. We're a small team that treats patients — and each other — like family. We care for a diverse community of families on PPO and Medicaid plans, and we take pride in making every patient feel comfortable, informed, and genuinely cared for.

We are hiring our next Office Manager, and we want to be straight with you about what this job is.

This is a working manager role in a small practice. You will be at the front desk doing the work — verifying insurance, presenting treatment, having the money conversation with a patient who owes a balance — not standing behind someone else while they do it. If you are looking for a purely supervisory seat with a team of twelve underneath you, this is not that job, and we would rather you know now.

But doing the work is the floor, not the job. The reason we are hiring is the part that isn't desk work: building the systems that make a standard stick after the day it was taught, and noticing when something quietly stops happening — before the patient is the one who tells us. We are a practice that is growing faster than our systems have, and we are hiring someone to close that gap.

You would be the second-in-command to the owner, with real authority and real ownership of how this office runs.

A Day in the Life of an Office Manager at Nick Le DDS PLLC

On a patient day (Monday, Thursday, Friday, Saturday), you can expect to:

Arrive by 7:55 AM and run the 8:00 AM team huddle
Lead the Friday morning front office meeting and attend the Saturday RDA meeting
Work the front desk alongside the team — answer phones, greet and check in patients, keep the schedule full and moving
Verify insurance eligibility and benefits, and read a breakdown accurately before anything is quoted
Present treatment plans and financial arrangements, and help patients say yes to the care they need
Have the balance conversation — collect at time of service, and follow up on what's outstanding
Work the unscheduled-treatment and pre-authorization queues down, not just log them
Oversee claims, EOB posting, and outstanding A/R alongside our remote billing partner
Coach and hold the team to our written protocols — kindly, directly, and in the moment
Give Dr. Le an end-of-day recap of what actually happened, including the parts that didn't go well

On your Wednesday administrative day (office closed to patients), you can expect to:

Work the reports — production, collections, new patients, case acceptance, A/R aging
Hold one-on-ones and coaching sessions with the team
Work through the claims, pre-auth, and recall queues without a phone ringing
Write down the things this office currently keeps in people's heads — this is real, assigned work, not a side project

This Role Is for You If…

You've managed a dental front office before and you can still do every seat in it
You'd rather run a queue to zero than a checklist to 100% — and you know those are different things
You notice when something has quietly stopped happening, and you say so
You can correct someone who has worked here longer than you have, in the moment, without making it a confrontation
You are comfortable asking a patient for money, and you don't hand that conversation to someone else
You write things down — protocols, scripts, how-tos — so the standard survives the person who was taught it
You want to build something and stay, not pass through
Bad news travels to you fast, because people know you'd rather hear it early
You're organized enough that Dr. Le stops being the backup for everything

This Role Is Not for You If…

You want a management title without hands-on front desk work — you'll be doing the work here
You're uncomfortable giving direct feedback to someone you sit beside four days a week
You avoid the money conversation, or hand it off when a patient pushes back
You need a large team and a corporate structure to be effective
"It's on the checklist" is your answer for whether something got done
You can't work Saturdays — this is a firm requirement, not a preference

We will set you up to win with a written 90-day plan, a full onboarding kit, direct access to Dr. Le, and clear numbers to work against. In this role, winning looks like:

More patients saying yes to the treatment they need — and getting it scheduled before they leave
Outstanding patient balances worked down instead of aging
A schedule that stays full and runs on time
Standards that hold after the week they were taught, because they live in a system instead of a memory
Dr. Le doing dentistry, because the office runs without him watching it

Deal Breakers

Inability to work Saturdays
No hands-on dental front office experience — this role requires it
Inconsistent attendance or punctuality; our small team depends on every single person showing up
Any casual approach to HIPAA, patient confidentiality, or insurance billing accuracy
Negativity, gossip, or drama — it doesn't fit our culture
Unwillingness to be coached yourself

Requirements

Minimum 2 years in a dental front office, hands-on, with real proficiency in: insurance verification and benefit breakdowns, treatment plan presentation and financial arrangements, patient collections, claims submission and EOB posting, pre-authorizations, scheduling and recall
Minimum 2 years supervising or managing staff, in a dental practice or a comparable small-team environment
Working knowledge of dental practice management software — Dentrix Ascend experience strongly preferred; we will train the right person
Working knowledge of PPO and Medicaid plans
Understanding of HIPAA and OSHA requirements as they apply to a dental office
Comfortable with spreadsheets, email, and learning new software quickly
Availability Monday, Thursday, Friday, Saturday, plus a Wednesday administrative day

About Our Location and Schedule — Straight Answers

Our neighborhood. We're on Calmont Ave in west Fort Worth, and we serve the community around us — a lot of families, a lot of Medicaid and PPO patients, a lot of people who have not always had easy access to dental care. That is deliberate. It is also honest work with real impact, and if that's what you're looking for, you will find it here.

Saturdays. We're open Monday, Thursday, Friday, and Saturday. Saturday is one of our busiest and best days. In exchange, you have Tuesday and Sunday off every week, and Wednesday is a closed-office administrative day. For the right person, a schedule with a weekday off and a quiet admin day is better than a standard Monday-to-Friday — but it is a real trade, and you should want it, not tolerate it.
