US Siding & Roofing is a trusted home improvement company serving Massachusetts homeowners with high-quality roofing, siding, windows, and exterior renovation solutions.

As our company continues to grow, we are looking for a sharp, organized, and friendly Office & Client Services Coordinator to become the engine behind our daily operations. This role is ideal for someone who thrives in a fast-paced environment, enjoys helping clients, and takes pride in keeping projects and office operations running smoothly.

You’ll be the first voice our clients hear, the person who keeps our leads and projects organized, and an important part of ensuring every client receives an exceptional experience from start to finish.

What You’ll Do

CLIENT COMMUNICATION

Answer incoming calls and respond to emails promptly and professionally
Serve as the primary point of contact for new and existing clients
Follow up with leads to confirm appointments and keep clients updated on project status
Provide a welcoming and professional customer experience throughout the process

LEAD & PROJECT COORDINATION

Enter and manage leads in our CRM system (GoHighLevel)
Monitor pipeline status and ensure leads receive timely follow-up
Assist with re-engaging cold leads and organizing lead source data
Help coordinate ongoing projects between clients, crews, suppliers, and management
Prepare contracts and project-related documents

PERMITS & ADMINISTRATIVE SUPPORT

Assist with permit applications and communicate with local building departments when needed
Maintain organized digital and physical project files
Support ownership and team with day-to-day administrative tasks
Handle data entry, document preparation, invoicing support, and general correspondence

ACCOUNTING & FINANCING SUPPORT

Utilize QuickBooks for invoicing, payments, and general office accounting tasks
Assist with tracking project payments and client balances
Be trained to help guide customers through financing application options when needed

What We’re Looking For

1–3 years of office administration, customer service, or coordinator experience
Experience with QuickBooks preferred
Experience with permit applications or construction office administration is a plus
Strong written and verbal communication skills
Highly organized with strong attention to detail
Comfortable multitasking in a fast-moving environment
Proficient with Microsoft Office, Google Workspace, and CRM systems
Positive attitude, professionalism, and strong customer service skills
