Full Job Description

I. Position Overview:

Layn USA, Inc. is seeking a detail-oriented and highly organized Accounting Specialist to support the daily accounting and administrative operations of the company. This position supports accounts payable and receivable, expense management, inventory accounting support, office administration, and new hire onboarding. The ideal candidate will possess strong accounting knowledge, excellent organizational skills, and the ability to manage multiple priorities while maintaining accuracy and confidentiality.

II. Specific Tasks, Duties and Responsibilities:

Accounting & Financial Operations

Process accounts payable invoices, verify approvals, and ensure timely vendor payments.
Process accounts receivable collections.
Monitor outstanding receivables and communicate with customers regarding payment status.
Reconcile vendor statements and resolve discrepancies.
Perform monthly bank, credit card, and general ledger reconciliations.
Review and process employee expense reports in accordance with company policies.
Assist with month-end and year-end closing activities.
Maintain accurate financial records and supporting documentation.
Assist with budgeting, financial reporting, and audits as requested.

Inventory Management

Maintain inventory records and assist with inventory reconciliation.
Monitor inventory transactions for accuracy between warehouse and accounting systems.
Investigate inventory variances and work with Operations and Warehouse personnel to resolve discrepancies.
Assist with physical inventory counts and cycle counts.
Prepare inventory-related reports for management.

Office Administration

Manage office supplies and vendor relationships for office services.
Coordinate office maintenance and administrative support activities.
Answer incoming telephone calls and direct inquiries appropriately.

Human Resources & Onboarding

Coordinate new hire onboarding activities.
Coordinate employee badge, equipment, and workspace setup.
Support HR with employee records and administrative functions.

Compliance & Continuous Improvement

Ensure compliance with company policies and accounting procedures.
Maintain confidentiality of financial and employee information.
Support internal and external audits.

III. Essential Skills and Experience:

Education

Associate's degree in Accounting, Finance, Business Administration, or related field required.
Bachelor's degree preferred.

Experience

Minimum of 3 years of accounting or bookkeeping experience.
Experience with Accounts Payable (AP) and Accounts Receivable (AR).
Experience processing employee expense reports and expense reconciliation.
Experience supporting inventory accounting or inventory management.
Hands-on experience using QuickBooks (QuickBooks Desktop and/or QuickBooks Online) for general accounting functions, including AP, AR, bank reconciliations, journal entries, and financial reporting.
Zoho One & Zoho Analytics experience preferred.
Experience in office administration.
Human Resources onboarding experience preferred.

Work Environment:

The work environment may include office setting. Employees may occasionally be exposed to:

Standard office equipment and computer workstations.
Laboratory materials or equipment, where applicable.
Moderate noise levels.
Remote or home office environments that meet Company safety and security expectations.

Pay: $28.00 - $32.00 per hour
