Billing Specialist

About the Position

Tri State Restorations is the leading disaster recovery and restoration company serving the Metropolitan Washington DC and Baltimore regions. We are a family-owned and operated business with over 40 years of combined experience, specializing in emergency cleanup and restoration of commercial and residential properties damaged by water, sewage, fire, smoke, and mold.

We are currently seeking a full-time Billing Specialist to join our growing team. This is an exciting opportunity for a detail-oriented professional who thrives in a fast-paced environment, can follow directions and think on their feet to problem-solve in real time. This position involves working with insurance adjusters, property owners and internal teams to support job documentation and billing processes—including utilizing Xactimate, our industry-standard billing software.

Job Responsibilities

As a Billing Specialist, your responsibilities will include a mix of administrative support and detailed billing functions. You will play a crucial role in ensuring our customer’s experience throughout their journey with our team is satisfactory and successful. You will also assist with timely and accurate processing of job files, invoices and maintaining strong lines of communication across all departments.

Key Duties:

Oversee day-to-day billing operations and ensure accuracy
Prepare and submit billing documentation using Xactimate
Prepare and submit estimate documentation using Xactimate
Prepare and send customer estimates through QBO
Coordinate with project managers and estimators to ensure accuracy of work performed
Maintain digital records in CRM (NextGear Solutions - Dash), QuickBooks Online, and Google Workspace
Monitor job progress and ensure appropriate documentation is attached to each file
Assist with incoming calls and client inquiries as needed
Support administrative operations including filing, scheduling, and internal task management
Maintain accurate records and ensure all documentation complies with company policies and industry standards
Participate in an on-call rotation with office staff to facilitate after-hours customer service and job coordination

Requirements

To succeed in this role, you must be detail-oriented, organized, and capable of operating independently under time-sensitive conditions. The ideal candidate will be a proactive problem solver who can follow detailed procedures while adapting to evolving client or insurance needs.

Must-Haves:

Detail-oriented with excellent organizational skills
Ability to follow directions precisely while adapting to change
Critical thinker with strong problem-solving capabilities
Excellent verbal and written communication skills
Friendly and professional customer service demeanor
2+ years of administrative and/or billing experience preferred
Xactimate experience highly preferred
Working knowledge of QuickBooks, Google Workspace (Docs, Sheets, Gmail, Calendar)
High School Diploma or equivalent required; associate or bachelor's degree a plus
Willingness to learn and grow into future roles
Ability to multitask and manage priorities in a busy office environment
