We are seeking a dynamic and detail-oriented Warehouse Logistics Coordinator to oversee and optimize our warehouse distribution operations. In this role, you will coordinate inventory management, shipping and receiving, procurement activities, and transportation planning to ensure seamless supply chain flow. Your proactive approach will support process improvements, data analysis, and cross-functional communication to enhance efficiency and customer satisfaction. This paid position offers an exciting opportunity to contribute to a fast-paced logistics environment while developing your expertise in supply chain management.

Responsibilities

Logistics & Freight Coordination

Coordinate freight shipments, pickups, and deliveries.
Communicate with freight carriers, delivery partners, vendors, and internal warehouse staff.
Track shipment status, delays, missed pickups, damages, and delivery exceptions.
Provide updates to internal teams regarding shipment timelines, freight issues, and delivery concerns.
Maintain clear records of freight bookings, tracking numbers, carrier details, and delivery notes.
Escalate urgent freight issues to the Director of Operations when needed.

Purchasing & Vendor Support

Manage warehouse operations including inventory control, stocking, and materials handling to ensure accuracy and efficiency.
Assist with daily purchasing administration, including purchase orders, vendor follow-ups, order confirmations, and ETA tracking.
Communicate with vendors regarding product availability, lead times, pricing, order status, and backorders.
Help maintain accurate purchasing records and vendor communication notes.
Support the Director of Operations with sourcing, pricing checks, and product availability updates.
Monitor open purchase orders and follow up until items are received, shipped, or resolved.
Identify discrepancies between purchase orders, invoices, vendor confirmations, and received inventory.

Service Issue & Customer Support Coordination

Track customer service issues related to equipment, delivery, damages, missing parts, warranty claims, and replacement needs.
Coordinate with vendors, technicians, warehouse staff, and customer support to help move service cases toward resolution.
Maintain organized notes and status updates on open service issues.
Follow up on pending parts, technician updates, replacement shipments, and vendor responses.
Escalate unresolved or high-risk service issues to the Director of Operations.
Assist in preventing service issues from becoming chargebacks, cancellations, or negative customer experiences.

Warehouse & Inventory Coordination

Communicate daily with warehouse staff regarding receiving, shipping, staging, inventory movement, and order readiness.
Help coordinate showroom staging, product prep, and equipment movement.
Support inventory counts and report discrepancies to management.
Ensure warehouse-related tasks are documented and communicated clearly.
Assist with tracking units that are damaged, returned, canceled, exchanged, or pending reroute.
Help confirm which units are available, allocated, reserved, or pending shipment.

Administrative & System Responsibilities

Maintain accurate records in company systems, spreadsheets, order trackers, CRM, ERP, or project management tools.
Update order statuses, shipment notes, purchasing updates, and service issue progress.
Keep internal communication organized and timely through email, Slack/Chat, and shared documents.
Prepare daily or weekly updates for the Director of Operations.
Help build and maintain operational checklists, trackers, and process documentation.
Follow company procedures for documentation, escalation, and communication.

Daily Expectations

The person in this role should be able to:
Oversee order fulfillment processes, ensuring timely delivery while maintaining compliance with international trade regulations and trade compliance standards.
Review open orders, shipments, service issues, and purchasing needs daily.
Follow up with vendors, carriers, warehouse staff, and internal teams without being reminded repeatedly.
Keep trackers updated in real time or by end of day.
Conduct root cause analysis for supply chain disruptions or inefficiencies and implement corrective actions through process improvements.
Prioritize urgent issues that affect customers, revenue, delivery, or inventory accuracy.
Engage in cross-functional communication with production planning, customer service, transportation planning, and warehouse teams to streamline operations and enhance overall supply chain performance.
Work closely with the Director of Operations to stay aligned on daily priorities.
Maintain a clean, organized administrative workflow.

Required Skills & Qualifications

Strong organizational and follow-up skills.
Ability to multitask in a fast-paced operations environment.
Clear written and verbal communication.
Comfortable working with vendors, carriers, warehouse staff, and internal departments.
Strong attention to detail and accuracy.
Basic understanding of logistics, freight, purchasing, warehouse, or order fulfillment preferred.
Ability to use spreadsheets, email, CRM/ERP systems, and internal communication tools.
Problem-solving mindset with the ability to escalate appropriately.
Reliable, punctual, and able to work in-house.

Preferred Experience

Experience in logistics, LTL freight coordination, purchasing, warehouse administration, customer service, or operations support.
Experience working with inventory, shipping, receiving, vendors, or service/warranty claims.
Experience in equipment, fitness, furniture, appliances, or other large-item logistics is a plus.
