Full Job Description

Job Overview

Pyvot Homes is seeking a highly organized, dependable, and motivated Administrative Assistant / Bookkeeper to support our growing homebuilding operation. This position will play an important role in keeping our office organized, maintaining accurate financial and project records, coordinating schedules, and supporting communication with customers, vendors, subcontractors, and our internal team.

The ideal candidate is a detail-oriented self-starter who is comfortable working in a fast-paced environment, can manage multiple priorities, and takes pride in getting the details right. Strong QuickBooks experience is essential, along with solid computer, organizational, and communication skills.

Key Responsibilities

Maintain accurate data entry and records using QuickBooks, Microsoft Office, and other computer systems
Perform day-to-day bookkeeping duties, including invoicing, billing, payments, and basic financial recordkeeping
Assist with accounts payable and accounts receivable activities
Maintain organized digital and physical files for customers, vendors, subcontractors, and projects
Assist with construction and homebuilding administrative tasks and documentation
Coordinate calendars, appointments, meetings, inspections, and other scheduled activities
Communicate professionally with customers, vendors, subcontractors, and business partners by phone and email
Respond promptly to inquiries and follow up on outstanding items
Prepare, proofread, and organize correspondence, reports, documents, and other office materials
Assist with purchase orders, invoices, receipts, and other project-related documentation
Provide general administrative support to management and the homebuilding team
Maintain a professional and organized office environment
Handle confidential business and financial information with discretion
Perform other administrative and bookkeeping duties as needed

Qualifications

QuickBooks experience is REQUIRED
Previous experience in an administrative, bookkeeping, construction, or homebuilding environment preferred
Strong organizational skills and exceptional attention to detail
Proficiency with Microsoft Office, including Outlook, Word, and Excel
Strong computer skills and accurate data-entry abilities
Excellent written and verbal communication skills
Professional phone etiquette and customer service skills
Ability to manage multiple priorities, meet deadlines, and work independently
Strong follow-through and the ability to stay organized in a fast-paced environment
Experience working with invoices, bills, payments, and financial records
Bilingual English/Spanish is a plus

Construction or homebuilding experience is a strong plus, but we are willing to train the right person who has excellent administrative and QuickBooks skills.
