Full Job Description

Craig Fry & Associates (CF&A) is a permitting and consulting firm specializing in building permits, planning entitlements, fire department approvals, and municipal agency coordination throughout Southern California. We work with homeowners, architects, contractors, developers, and business owners to navigate complex government processes.

We are looking for a dependable, detail-oriented Office Administrator to support our project managers, accounting functions, and daily office operations. This position is ideal for someone who enjoys staying organized, managing multiple priorities, and taking ownership of a wide variety of administrative responsibilities.

Responsibilities

Answer and direct incoming phone calls.
Greet clients and visitors professionally.
Manage incoming and outgoing mail, deliveries, and correspondence.
Prepare, organize, scan, and maintain physical and electronic project files.
Set up new projects and maintain accurate client records in our CRM and internal systems.
Receive client payments by check, credit card, ACH, and other payment methods.
Record payments accurately and maintain payment records.
Prepare vendor payments and assist with processing accounts payable.
Assist with accounts receivable, including invoice preparation, payment tracking, and client account follow-up.
Perform basic bookkeeping and accounting tasks using QuickBooks Online.
Reconcile receipts, credit card transactions, and other financial records.
Coordinate appointments, meetings, and calendars.
Order and maintain office supplies.
Prepare correspondence, forms, reports, and project documentation.
Communicate professionally with clients, vendors, and government agencies.
Assist project managers with administrative support throughout the life of a project.
Learn basic permitting procedures and terminology to better support the project team.
Perform other administrative and accounting duties as assigned.

Qualifications

Previous bookkeeping, accounting, or office accounting experience preferred.
Experience with accounts payable and accounts receivable.
Strong organizational and time management skills.
Excellent attention to detail and accuracy.
Professional verbal and written communication skills.
Strong customer service skills and professional phone etiquette.
Ability to prioritize multiple tasks and meet deadlines.
Self-motivated with the ability to work independently while contributing to a team environment.
Ability to maintain confidentiality with financial and client information.

Preferred Technical Skills

Experience with the following is preferred:

Microsoft Office (especially Outlook, Excel, and Word)
QuickBooks Online
Adobe Acrobat
CRM software (Zoho experience is a plus)
Google Workspace
ChatGPT or similar
