Job Summary

We are seeking a dynamic and organized Secretary/Receptionist to be the friendly face and efficient coordinator of our office. This vital role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth daily operations. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, including bilingual proficiency. Responsibilities

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer support.
Handle all incoming calls, direct inquiries appropriately, and take detailed messages when necessary.
Perform clerical duties such as data entry, filing, proofreading, and document preparation using Word processing tools.
Maintain organized office management systems, including calendar management, appointment scheduling, and correspondence tracking.
Support bookkeeping tasks using QuickBooks or similar software, including basic bookkeeping and data entry.
Assist with office supply inventory management and ensure the office environment remains tidy and efficient.
Coordinate with team members on administrative tasks such as client communication, document proofreading, and general office support.
Utilize Google Workspace applications for document creation, email correspondence, and collaboration on projects.
Provide personal assistant support as needed, including calendar management and task prioritization.

Qualifications

Proven experience in office management or administrative support roles; previous clerical or front desk experience preferred.
Excellent computer skills with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and data entry tools.
Strong organizational skills with the ability to multitask effectively in a busy environment.
Exceptional customer service skills combined with professional phone etiquette for handling multi-line phone systems.
Bilingual abilities are highly desirable to assist diverse client needs effectively.
Demonstrated ability to manage time efficiently while maintaining accuracy in tasks such as proofreading and data entry.
Knowledge of QuickBooks or similar bookkeeping software is a plus.
Strong interpersonal skills for client communication and team collaboration.
Ability to adapt quickly to changing priorities while maintaining a positive attitude.
