Overview
We are seeking a dedicated and detail-oriented Healthcare Administrative Assistant/Client Experience Specialist to join our team on a part-time basis. This role is vital in providing exceptional administrative support and ensuring a positive patient experience within our healthcare office. The ideal candidate will possess strong mental health/medical administrative skills, familiarity with electronic health records (EHR) systems, and excellent communication abilities to facilitate smooth clinic operations and patient interactions.

Responsibilities

Manage patient scheduling, appointment confirmations, and rescheduling using EMR systems
Verify insurance coverage and perform insurance verification processes efficiently.
Assist with medical billing and collection activities, including CPT coding, ICD-9/ICD-10 coding, and documentation review.
Maintain accurate and organized medical records in compliance with HIPAA regulations.
Support front desk operations including patient check-in/out, multi-line phone system management, and patient service inquiries.
Handle intake procedures for new patients and update patient information accurately within EHR systems.
Review clinical documentation for completeness and accuracy; assist with care plan documentation.
Coordinate with clinical staff to ensure smooth office flow and effective communication between departments.
Uphold confidentiality standards according to HIPAA guidelines while managing sensitive health information.
Provide excellent customer service by addressing patient needs professionally and courteously.

Skills

Proficiency in medical office management software
Strong knowledge of medical terminology, ICD coding (ICD-9/ICD-10), CPT coding, and health information management standards.
Experience with insurance verification processes and medical billing procedures.
Familiarity with EMR/EHR systems
Excellent organizational skills with attention to detail in documentation review and data entry.
Strong computer skills including Microsoft Office Suite (Word, Excel), typing (10-key), and multi-line phone systems.
Bilingual abilities are a plus to enhance patient communication.
Previous clinic or medical office experience preferred; dental clinic experience is advantageous.
Exceptional customer service skills with professional phone etiquette and effective communication abilities.
